Share submissions and report data to others.

    Hi! I'm looking to build data dashboards for several individual entities outside of our entity (as part of our nonprofit work). I'm wondering if those separate entities would also be able to access the reports or data dashboards and if each report could be limited to a program? It might be easier to call to discuss.

    About your question, looks like sharing your submission table and reports to collaborators would best fit your need. You can set your collaborators to either just view the data, comment on it, or edit it. We have a Share button on the right side of the Jotform Tables page that you can use to share your Tables page with others. Let me show you how:

    1. On the Jotform Tables page, click on the Share button.

    2. Click on Share Settings and select Private Table, so only people you invite will be able to see your Tables. You can also set the default role of the invitation link as either Read-Only or Collaborator. Let me explain the difference between those:

    • Read Only means that only people you invite will be able to see your Tables.
    • Collaborator means that anyone you invite will be able to see and edit the data, but they won't be able to adjust or change the table settings.

    3. Now, use the Generated Link or the Invite by Email feature to invite people.

    Can you have the data automatically create graphs that the external users can access as well?

    Hi Abby,

    Thanks for getting back to us. You can utilize Visual Report through Jotform's Report Builder. You can create a Visual Report connected to your form, which is automatically updated when submissions are made. Furthermore, you can also publish it Publicly for external users to see. Here's how to do it:

    1. In your My Forms page, click on the Arrow icon.
    2. Select My Reports.

    3. In Report Builder, click on Create Report.
    4. Click on Select a Form, then click Next.
    5. Find the form you want then click on Select Form.

    6. Finally, add the Report Name and select Report Type, then click on Create.

    Next, to publish your report:

    1. Click on Publish from the top-right part of the page.
    2. Click on Settings, then select Public.
    3. Copy the Link and share it to the external users.

    so, we need each organizations responses to the same survey to be separated by organization so they can only see their data/report - can jotform do this on the backend or do i need to set it up so each organization has their own survey?

    Hi Abby,

    Thanks for getting back to us. Yes, you can send different reports to different users/organizations. You can accomplish this by cloning your report, then applying a filter to the submissions before sending out the link of the report. Here's how to do it:

    1. In Report Builder, click on the Three dots icon.
    2. Click Duplicate from the menu.

    3. Click on the Filter button.
    4. Apply Filters to your form, then Publish it by following the steps from my previous reply.

    This is super helpful and what i was looking for thank you - to follow up - then all programs could receive the same survey link, but then i can filter them on the back end and share the individual filtered report to each program?

    Hi Abby,

    Thanks for getting back to us. Yes, each report will have a different link, so if you filter out a report on a different tab, it will have a different link. Each tab will have it own publish link to share. Check out the screencast below for the publish link:
