Multiple contributors to one form response?

    Hello,

    Is it possible to have multiple individuals each fill out different sections of the same form and then route that singular form & attachments through various approval groups? I'd like for subsequent contributors to be able to see the inputs of preceding contributors as well. Please advise, thanks!

    Hi Cameron,

    Thanks for reaching out to Jotform Support. Yes, a form can be filled out by many people. However, could you tell us how many individuals will fill out the form and how you intend to send it, whether via email or by saving the form and providing the draft link to other form fillers? 

    Regarding approval groups, do you wish to send these submissions to multiple groups so that they can approve or deny them? Or include them as a form recipient so they receive the submission email as well. 

    Once we hear back from you, we'll be able to move forward with a solution.

    The form I want to make would have 4 sections, each to be filled out in series by different respondents. These sections would have a variety of field types, including a few attachments in 2 of the sections that I would like both subsequent respondents and approvers to be able to view, as these attachments will inform them as to how to fill out their sections.

    For distribution, it would be best to automatically send the form to the next respondent via email upon section completion, rather than having to manually email a draft link. Additionally, each section would ideally be read-only to all future respondents, which may make draft links not very feasible.

    The completed form would go to 5 approval groups in parallel. The approval groups would consist of 2 to 4ish people, would only require any one approver from each group to be considered complete, and a signature from all 5 groups would be required. Then the form would be distributed in PDF format with all signatures visible in the PDF to a designated group of people via email.

    Apologies if this is a complex request. We are currently using a paper form for this, where workflow and programming aren't issues, but data validation, lack of analytics, and wasted time are. Hence my search for a form platform that can handle this workflow.

    Hi Cameron,

    Yes, it is possible to allow multiple users to complete a form using the approval flow. For example, in your approval email, you can always add the edit link in each approval email for the approvers to be able to edit the submission and continue filling out the form:

    You will also have the option to set form fields to read only to not allow users to edit the data previously entered by using the Get Form Page URL and conditional logic. Here is a sample condition:

    You can also use the Group Approval feature to collect responses from multiple approvers. I suggest checking out our guide on Group Approvals.
