Option to offer time slots and make it unavailable when fully booked

    Hi there, We are curious if Jot Form has the ability to limit the number of responses based on how a specific question is answered.

    We need to have a registration form that gives registrants options to select a specific time slot. However, there are only so many openings in each time slot available.

    Once all the openings in a specific time slot have been registered for, is there a way to remove or grey out that option for a time slot, making it no longer available for someone to select.

    Hi Amber,

    Thanks for reaching out to Jotform Support. You can add the Appointment element to your form to let the users select a date and time slot on your form. The time slot will be grayed out if it has been fully booked. Here's a screenshot of the element:

    If you need to allow multiple users to book one date and time slot, you can change the Appointment Type to Group instead of one-on-one. Let me show you how to do it:

    1. Click the field and click the Gear icon next to the Appointment element.
    2. Go to the Advanced tab in the menu on the right.
    3. Choose Group under Appointment Type.
    4. Set the maximum number of attendees per time slot.

    Take note that you can change the time slot duration, intervals, any many other options to customize your appointment element. You can review this useful blog on How to schedule an appointment with Jotform.

    As for the question "ability to limit the number of responses based on how a specific question is answered.", can you elaborate on this? What are the actual questions and possible responses? Are you limiting the number of slots based on the user's answers or limiting the total number of submissions?

    Thank you so much! So we are specifically looking to use a form to have people register to serve at an upcoming serving event.

    We will have 4-6 time slots available, with each time slot having the ability to hold up to 40 people. We are trying to see if when someone registers and selects the 11a-12p time slot, now there would only be 39 spots available. When all 40 slots for the 11a-12p time slot have been selected, we would like for that time slot to grey out or disappear so someone else can not choose it...

    Hi Amber,

    Thanks for getting back to us. Based on your description, the Appointment Field will work for you. However, if you have a one-day event and offer 6 time slots, you can also use the Gift Registry widget. You can add your time slots and set the limit for each slot that the users can select. The number of available slots updates on every new submission. Le time show you how to set it up:

    • In the Form Elements window, go to Widgets.
    • Search for Gift Registry and drag it to your form.

    • Remove the default content of the widget and start adding your time slots. The number between the curly brackets is the total available slot for each item.

    • Separate each item by entering on a new line.

    • After adding all your time slots or items, you can change the widget's label. Here's how:
    • 1. Click on the Gear icon next to the widget.
    • Go to Advanced.
    • Change the Field Label.
