How to schedule sending the Autoresponder email

    Hi Jotform team,

    Could you please provide some guidance on how to create a delayed release of some fields.

    This is what I envision:

    • Participant submits an initial baseline submission
    • One week later they would get an email reminder (with link to the form above) to come back and fill-out follow-up fields that were previously hidden

    How do I configure the form to send out these delayed reminders that show previously hidden fields?

    Hi Lena,

    Thanks for reaching out to Jotform Support. Yes, this is possible and you need few of our features to accomplish this. Here are the steps:

    1. Make the fields that will be accomplished later as hidden by default. Just right-click on them and then select Hide from the options.

    2. Add the Get Form Page URL, this is needed in the condition logic to conditionally display the hidden fields when the responder opens the form at the later date.

    • On the Form Builder page, click on the Add Form Elements at the upper left.
    • On the Form Elements, go to the Widgets tab.
    • Search and click on the Get Form Page URL to add to the form.How to schedule sending the Autoresponder email Image 1 Screenshot 50

    3. The Show/Hide Field condition will conditionally display the hidden fields. Here's how to add it to the form.

    • On the Form Builder page, go to the Settings at the top navigation bar.
    • Open the Conditions tab on the left, and then click on the Show/Hide Field conditions.
    • Add the condition that if the Get Form Page URL contains the word "edit", it will display the hidden fields, below is an example:

    4. Now, add the edit link on the Autoresponder email. The edit link will give access to the responder to edit/update their submission. Let me show you how:

    • On the Settings tab, open the Emails tab on the left.
    • Hover your mouse on the Autoresponder Email and then click on the pencil icon to edit.
    • On the Autoresponder settings, go to the Email tab (message section)
    • Click Form Field button and select the Edit Link to add.

    5. Set the Autoresponder Email to be sent on a later date.

    • On the Autoresponder settings, go to the Advanced tab.
    • Locate the Send Email Later, and select the number of days to send from the form submission date, or select a specific date to send the email.

    When the responder fills out the form, then submit it, the Autoresponder will be sent on a later date. When they finally get the email, they'll click on the edit link. The Get Form Page URL widget will capture the current URL at that time, the condition logic will check the widget if it has the word "edit", if true, it will display the hidden field for the responder to complete. The responder has to click on the submit button again to update the submission data.

    Hi Lesther,

    I follow you up until the Auto-responder email, and here I don't see "Edit link" as one of my options.

    Hi Lena,

    Thanks for getting back to us. You can get edit link by disabling the Jotform Sign Automation. Let me show you how you can disable Jotform Sign Automation:

    • Open your form in Form Builder, and in the orange navigation bar at the top of the screen, click on Settings.
    • In the menu that opens on the left side of the page, click on Jotform Sign.
    • Toggle Enable Jotform Sign Automation to Off.
