Limit of submissions and containers, per a specific day, for a specific form

    Problem: The Quote – Internal Unpacking – FCL (Vehicles) forms are used to place requests for container unpacking at our container terminal.

    Each form contains a Bill of Lading Number, which can contain several containers within it. (a BOL can have multiple containers). However, our terminal only has the capacity to unpack 24 containers per day.

    Request: We need a way to limit the number containers and form submissions/service request, for a given day.

    For example. If our daily capacity is 25 containers, then the system/form/JotForm should inform the customer (person who is submitting the form) that the daily limit for unpacking has already been reached on the selected date, and that you can only choose another date.

    Hi Mark,

    Thanks for reaching out to Jotform Support. I'm not exactly sure yet if that's possible, but from the looks of it, it may be achievable using a combination of several widgets available in Jotform and Smart Conditions, but we still have to check. Can you give us the exact work flow of how the form should work, staring from how it is filled out and when form users are restricted from submitting the form?

    You've mentioned that the Bill of Lading Number contains several containers within it, so does this mean, you want to be able to pull up the number of container a certain Lading number have from a third party source?

    Once we hear back from you, we'll be able to check its feasibility.

    Can we have a joined call session with my business user to have a better explanation of the workflow e explore possible solution?

    Current Workflow

    1. Customers submit the request through the form, and inform:
    2. BOL - Bill of Lading (which contains may containers)
    3. Unpacking date
    4. Our Billing team creates the quote and invoice to unpack the number of containers in the BOL, in the specified date.
    5. Terminal team unpacks the containers in specified date.

    Issues: Terminal team cannot unpack more than 24 containers a day. But the clients can submit unlimited unpacking requests for a specific day. When the terminal fails to unpack, charges are incurred...


    Desired Workflow

    1. Customers submit the request through the form, and inform:
    2. BOL - Bill of Lading (which contains may containers)
    3. Quantity/number of containers to unpack and when - the system (Jotform) should let the customer know that, for that specific day, there are already 24 unpacking scheduled. And the customer must select other date.
    4. Our Billing team creates the quote and invoice (for the amount/qty of containers and for that specific day). In general, they won't create quotes for more than 24 containers a day.
    5. Terminal team unpacks only 24 containers (from one or multiple customers) in specified date.

    Hi Mark,

    Thanks for reaching out to Jotform Support. To my understanding, you wanted to limit how many times a date in unpacking date field can be selected. Currently it is not possible with a date picker field.

    As a workaround, you can use the Gift Registry widget and list each date as an item. This widget allows you to set a specific quantity for each item, and it will automatically subtract the quantity for each item whenever a submission is made. Once an item has been selected based on the quantity you set, it will no longer be available for selection by other users. Let me show you how to set that up:

    • In Form Builder, click on the Add Form Element menu on the left side of the page.
    • Under the Widgets tab, search for the Gift registry widget and add it to your form.
    • Click on the field's wand icon to open its settings and add your options with the limit you'd like to set.

    Hi, I have tried.

    But using this, means that i would have to came to this form and update the next dates all the time.

    If i use the Weekly Appointment Planner Widget, will it rest the availability every new week?
