How fillable PDF's work?

    Hi there!

We're looking at using jotforms for our employee forms, but I was curious about your offline forms. Often, our people will be outside of the data range (due to being in zero cell reception), so I wanted to know how the fillable PDF work.

In order to import in the filled form, do we have to manually upload them into jotform? Or do the PDF's include a means of submitting them when our workers get into data range.

    Thanks!

You can submit the fillable PDF when your employee has internet. Just save the filled PDF and then submit it using Adobe Acrobat PDF reader or Foxit PDF reader. Also, you may want to check our Jotform Next Android app, it has the option to fill out the form even without internet.

Make sure you add a submit button to your fillable PDF so you can send it at a later date.

Oh excellent, I was going to mention that this was for android devices. I will test out the app, this might very well be the solution we need.

    Thanks

Out of curiousity, is there a way we can provide access to these offline forms without needing to provide workers access to my jotform account?

    Thanks

You could download the fillable PDF version of the form and upload it somewhere like Google Drive or Dropbox then share the link to the file.  They could download and use their own copy or copies of the PDF.

    Hi David,

I was referring to the use of the Jotform app. Unfortunately, it doesn't appear that the mobile versions of adobe allows for pdf submissions. All of our employees use company provided tablets. If the app allows for the completion of offline webforms, then we could use the app for all of our use cases, rather than having to mess around with multiple form services.

    Thanks

Unfortunately, you cannot do offline completion of the forms in the app or in the browser, submitting requires connection.

If you are going with tablets, why don't you open the form in the browser, make sure that the autofill is enabled: https://www.jotform.com/help/227-How-to-Enable-Auto-Fill-on-Forms

Then, have your users fill the form, and have the form opened in the Browser, once they fill the form, and they connect to the internet, they can submit it. But this would allow filling data only once.

Yeah, that's not the most feasible method, as they would need to submit multiple instances during their shift. Most importantly, users won't have access to a browser, as the data costs would be astronomical if we enabled it.

I tested the offline mode on the Jotform app, and it seems to work extremely well. The only issue is I would need to log into the account for each of the devices. Another thought would be to copy the form onto separate accounts, but that would require me to manage 10+ versions of a form and their separate Zapier connections.

Perhaps the app has some sort of offline kiosk availability?

    Thanks!

    Yes, you're right about that.

The JotForm app would be the best way to go since you can collect the data offline and have it in the kiosk mode.

    Here is how:

Click the upper right three dots and when menu opens click Open in Kiosk Mode.

Let us know how it worked.

    Thank you!

    Perfect,

So the last step to my issue would be in getting the individual tablets to access the offline form without having to login with the main account. Is there a function that would allow me to assign the form, or otherwise make a form available on other app accounts?

    Thanks

I'm not sure that that is possible within the app since you have to login in order to access the forms.

So I don't see how that would be possible.

I was rooting through the app and found a function called assign form. I tried to send out the invite but it didn't go through. I'm wondering if this is what I've been looking for? Create individual accounts for each tablet, then assign them the form through the main account

Here is the assignment page on the app. When I input the email, and click save, nothing else happens. I think this might accomplish what I've been looking for.

Yes, Jotform Next app has the offline form capabilities which are an advantage for you. The Assign Form feature is for sharing form to other users. Yes, this will also work for you because once the form is shared, the form can be filled up on Kiosk mode or just view form in the app. However, I figured that you cannot add an email address that is already registered with Jotform. I'll create a ticket about this, but will do so in the new thread here https://www.jotform.com/answers/1805791.

In the meantime, please enter an email address that is not yet registered to Jotform. To test the offline mode, you also need to go the Settings and click Offline Forms, choose forms to sync.

I would like to highlight that yes, once the form is assigned, it can be filled Offline by the user and submit it on view form or Kiosk mode :) But again, see to it that the device is sync through the Offline Forms option in the Settings tab of the Jotform Next App.
