Why might I have more email notices of submissions than actual submissions?

Asked by VISTA_Program_Manager on April 16, 2013 at 04:42 PM

I receive an email everytime someone submits and/or edits a form.  I currently have more emails than actual submissions under the "my submissions" tab.  When someone clicks the link to edit a form, can I assume that takes them back to their original submission and that's why I might have received four emails of submissions while only having one submission?  Conversely then, why might I have multiple submissions after receiving multiple email notices in some cases but not others?

    Hi,

You have more email notices when Editing submissions because the forms are being re-submitted to complete the editing process. So, when the form is re-submitted it will also re-send email notifications to you. This explains why more emails than the submissions data.

If you are having submissions data, BUT no emails, there are 2 possible reason for this.

    1. The email notification/message did not reach your email inbox.

    2. It could be the wrong email address where the messages are suppose to be checked.

Please tell us which of your form is having more submissions than email notification.

And tell us also the email address where you expect the messages/notification supposedly. We will check his further.

    Thanks.

So , my biggest concern is that the information under “my submissions” has the most up-to-date information when there are more email notifications than submissions. If that makes sense…

No email alerts appear to be ending up in my junk mail folder.
Tell me this – if someone submits a report the goes back in and edits via the edit link, should I have a new submission for each edit or will their original submission be updated with the edits?

    Chris,

If its the user that edits the submission (using edit link), the original submissions are updated with edits. It will NOT create new submissions.

    Thanks.

    Sorry, to be clear..

it doesn't matter if you or the user edited the submission. It will still NOT create new submissions. It will just Edit/Update the existing submission.

    Thanks.

And so if I have multiple submissions from the same organization… I should assume:
A different user reviewed and updated the form or… what other possibilities are there?

I am not sure what you meant.

BUT  it will still not matter how many times the submission was edited... it will still NOT add new submission. Take note each submission data have submission ID, so, whoever or wherever the submission was edited, it will require re-submission of the form.. and it will just stil results to an edited submission  NOT a new submission.

The only time the form will have new submission is, if somebody fill up a blank empty form.

    Hope this help.

    Thanks.

For instance, I received only one submission email (attached) from this individual but have four submissions. What would cause that to happen? (Thanks a ton for your help by the way.)

    @areinhart,

For instance, I received only one submission email (attached) from this individual but have four submissions. What would cause that to happen?

This may caused by the following:

    1. In your email notification settings, Sender name value is empty.

    2. In your email notification settings, Sender email value is set to email field.

    3. Your email address is in the bounce list. If you can share us the form url/title so we can check it.

You can also see this guide to avoid not receiving email notification.

    Thanks!
