    Can I prevent the fields in the collapsed form from appearing in the Notification Email

    Asked by halh on August 28, 2013 at 10:36 AM

    I can successfully hide additional fileds with the Collapse Form field and conditional logic.  However, even though those fields are not completed, the notification email includes all of the fields.

    Is there a way to prevent this?

    Hi halh, I see that you have quite a few forms. Can you please tell us which form this is on so that we can better assist you with this issue?

    Additionally, To my knowledge though, you can control what is seen on your Email Notifications by Manually Editing everything in or out of the Notification Template itself.

    An Example of this is in your Email Notification Template you'll note that the Tags - {fullName1} - coincides with the " Form Fields " box on the rightside boxed in RED in my image below. Those are all connected to each of the fields you have on your form so even though you don't see the actual Form Collapse in here you can remove any of the Field Questions in your actual Email Notification Template that are on your form's collapser and this will hide all of that.

    The form is 32393334900955 -Multiple Instructors - V2
    If I delete the initially hidden fields in the email response, they won't appear when the condition for their use is met. Do I have to set up two emails (with a condition, if that is possible) so that when the primary fields are complete, the hidden ones don't appear, and when the hidden fields are completed, all fields appear?

    EliezerN,
    Thank you, I've cloned the form (you probably got the test emails) and it works perfectly. How did you get the "with and without collapse fields" as choices for the actions?

    @Swinggeneration,

    As far as I can see, the issue was solved per your thread.

    @Halh,

    It looks like that EliezerN has added two conditional Email Notifications to the form.

    Note: 'With collapse fields' and 'Without collapse fields' are titles of Email Notifications.

    Then, he has modified email template body in order to remove needed fields.

    You can clone his form to your account to check the back end:

    Thank you.

    Yes, I just wanted to know if "with collapse fields" and "without collapse fields are standard Jotform action items to be used in Conditional actions.

    @ halh

    Hi,

    Can you please elaborate the question.

    This notification email setup is not the default. It is a modified email notification with Conditions.

    To add notificaiton email, please refer to this guide Setting-Up-Email-Notifications

    And to better understand how Conditions are setup, please review this guide also

    Smart-Forms-Using-Conditional-Logic

    Please inform us if you need further assistance.

    Thanks.

    Jonathan,
    Perhaps a figure will make this clearer: Are the drop-down terms in the Select window (arrows) standard Jotform selections available when the Form Collapse field is used?

    @halh

    The Without Collapse Fields and With Collapse Fields are not standard jotform selections but they are the names for the Email Notifications that ElizerN created. As my colleagues explained above, two Email Notifications were created one that would include the form collapse fields and one that would not and they were named appropriately. The email alert body was modified accordingly, one to include form collapse and one to exclude it.

    So to sum it up the only reason why you are seeing the options Without Collapse Fields and With Collapse Fields in the drop down is because they are the names that were given to the email alerts that were created and the names of the email alerts are used when setting up the conditions.

    I hope this helps!

    Tasha,
    Now I understand. This is a very useful feature; I hope this becomes "standardized". It certainly simplified my project.
    Thank you.

    Thanks for letting us know.

    If you want this as a jotform feature you can start a new thread describing what you would like and we will send the thread as a ticket to our developers for them to consider implementing it.

    EliezerN,
    This form works well, the appropriate emails correspond to the conditions BUT the entered Instructor's Name DOES NOT appear in the email, even though the field ID is specified in the report, when the email is transmitted via the Submit button. The entered name is included in the Submission Report and is included in the Test email. I noticed this after a number of submissions did not include the Instructor's Name (The field descriptor does appear)
    Here is the form URL to test: http://form.jotformpro.com/form/32683823013955

    Another problem surfaced with this form. The both email notifications only send the email to the first address, of five in the list, all separated by commas.

    As far as I understand, you are working on the following form:

    http://www.jotformpro.com/form/32396328195967

    This form works well, the appropriate emails correspond to the conditions BUT the entered Instructor's Name DOES NOT appear in the email.

    The email templates are being populated by field {tags}. If you have incorrect tag, this will not send anything on the email.

    It looks like that some fields were changed, and now you have some incorrect tags. Please make sure that you use correct field tags on your templates.

    For example, check the Instructor's name on the first email template. I think that you have incorrect {instructorsName16} tag when it should be {instructorsName148}.

    Another problem surfaced with this form. The both email notifications only send the email to the first address, of five in the list, all separated by commas.

    The conditions are overriding your standard recipients. In order to fix this, please list all the recipients under conditional rules.

    Thank you.
