I am interested in purchasing a Professional license for JotForm but have some questions about scalibility. I need to be able to have a form that sends form submissions to different users based on either a dropdown field or a hidden field.

I know that I can route email notifications to different people based on the condition of these fields but is there any way to have child logins to my account that would give certain people access only to submissions associated with them?

Would it be possible to send submissions to a specific folder in a Dropbox account, which could be shared to the appropriate person, based on a field value in the form?

    Hi,

Currently, this is not possible with Jotform. I can see a workaround by naming the folders of the submissions in your dropbox account to that field or hidden field that you were talking about.

For example, your drop down field with a label of 'Department' has 3 options - A, B, and C

Configure your Dropbox integration to name the folders of the submission to those options.

So that your uploads are sent to different folders namely, A, B and C. Now, share each folder to the different people that you ought to share to.

A big downside to this is that the submission entry (pdf) is also named after the drop down field. That means B.pdf will always get overwritten by the latest submission to B.

I'm not sure if there is  a way around this. I'll try to find one for you. In the meantime, you can use conditional email alert to send submissions to different people.

Would it be possible to have two fields, a Department field and a Unique ID field and then send the submissions to: /Dropbox/{Department}/{Unique ID}/{Unique ID}.pdf?

Then I would just share the Department folders out to the appropriate departments and they would have access to all the submission folders inside those folders?

I wish that was possible. That would really be the perfect solution to your problem. However, we do not have that option right now. There is very little customization option for the Dropbox folders where the submissions are sent to. I can't seem to remember but as per our developers, there is a valid reason why the options for customizing Dropbox folders was limited.

I'll try to look for that statement. Meanwhile, I have submitted a report ticket for this issue about pdf entries being overwritten by new ones.

    Thank you for your patience.
