    web and e-mail submissions differ

Asked by MacSkip on June 25, 2011 at 02:44 PM

I've been using Jotform for several months.  A few months ago the response I get when someone "submits" a complete form changed.  My forms typically have a check box for every day of the month and the receiver completes the form by selecting only those days to show availability.

Up to and including last May the e-mail submissions to me only listed the selected days, but since June the submissions show every day, with only the selected days showing the dates (e.g., "Friday" vs "Friday June 03").  However the submissions that I see on the Jotform web site still ONLY show the selected days.

I just sent out forms for August and September.  The few submissions that I've received still show the same symptoms, namely e-mail shows all days with selected days also showing dates (as in the example above), while the Jotform site shows ONLY the selected days.  Why are they different?

Finally, I noted something rather strange in the e-mail responses I've received (but not in the web site responses -- they're OK).  I see dates from near the end of the month listed first, FOLLOWED by dates at the beginning of the month.  (Before you ask, here are the form#s for my August and September forms, respectively: August = http://www.jotform.com/form/11743054803 and September = http://www.jotform.com/form/11743902799).

    What's going on??

    Hi MacSkip

To my knowledge, email alerts (including autoresponses) have always shown all of the fields, whether answered or not. As a matter of fact, we often get requests from users for only completed fields to be shown in the email alerts. So, I am surprised to hear that your notifications used to contain only the days that were selected. Not that I doubt you but could you provide screenshots of the notifications received up to May?

    Thanks.

    Wayne,
Attached is an example of the responses that I consistently
received up to and including last May. They changed in June.

    Hi again MacSkip

Unfortunately, the example didn't show up. Would you mind trying to post it again? Post via this link: http://www.jotform.com/answers/31583-web-and-e-mail-submissions-differ

    Sorry for the inconvenience.

    Wayne,

I've saved an example of the e-mail responses that I received up to and including last May -- they changed in June.  I tried to reply to your e-mail to me, but it bounced with this info:

A message that you sent could not be delivered to one or more of its recipients. This is a permanent error. The following address(es) failed: pipe to |/home/interlog/cms_post/post.php generated by jotformforum@interlogy.comThe following text was generated during the delivery attempt:------ pipe to |/home/interlog/cms_post/post.php generated by jotformforum@interlogy.com ------X-Powered-By: PHP/5.2.12 Content-type: text/html

I'm not sure how I can get a screendump to you, so I'll create a new message with the same title -- hopefully you'll get it that way. (If there's a way to include a JPG image with this msg, let me know.)

In the other thread (now deleted so as to keep the topic in a single loaction) I saw the example screen dump of submissions you consistently received until this month (June) . Very interesting ...

One difference appears to be that notifications back then were tabulated (notice how the month and date on the right are neatly aligned in a column?) but that would not have prevented unselected dates from being displayed.

UPDATE: Eureka! Strange as it may seem, the solution to your problem is indeed to have results tabulated. On a whim, I deleted the notification in a clone of your form and replaced it with a new one (as you probably know, by default, email alerts are set to send submissions in HTML format and tabulated) and ran a test submission. Here is a screen shot of what I received in my inbox:

Compare that with what I saw when I did a test submission with the old notification still in place:

So, you simply need to do what I did: Replace the current notification with a new one. Just edit the subject in the Compose Email section to match that in the current notification.

Should you require help with any other aspect of our product, please feel free to post the query and our team will gladly assist where we can.

    Cheers :)

    Wayne,

Thank you, thank you.  The few times I've had a question/problem with Jotform I have been totally satisfied with your quick and correct (!) understanding and corrective responses.  The support I get from the Jotform group (I assume there's more than you!) is so much better than any other I've had... and it's FREE!  (Sure, I know there's a paid version of Jotform, but I don't need that much capability.)

One final question.  In my last exchange w/u I said that I'm not sure how I can get a screendump embedded into a response (as you so capably did in your last reply to me).  It must be a simple step -- I just don't see it, but it must be the "insert/edit image" icon above.  I'll try once more. If I don't succeed please walk me thru the process of inserting an image in a response.  Thanx in advance.

Yes, Skip. There are definitely more folk than just me working around here LOL. They, like me, will be glad to hear of your compliments and will blush.

I have just posted a tutorial for you on inserting images. Hope it helps. If you need clarification on anything in the tutorial, please feel free to post a reply there and one of us will provide an answer.

    Cheers.

    Hi again Wayne.

On previous form submissions that were sent to me, I saw that the "from" line included the name of the person who completed the form (which is a field near the top of my form - here's my September form#: http://www.jotform.com/form/11743902799) but now the form shows "from: JotForm <noreply@jotform.com>".  How can I change it back so the "from" line again shows the sender's name?  When I redid my notification I entered "New submission: {form_title}" on the "Subject" line, having seen it on a previous form.  Is there another field name in curly braces that I need to put in my notification's "Sender" line?  As you have probably noticed, I'm relatively inexperienced on the use of Jotform outside of my specific form, so your help is much appreciated.

    Hi Skip

To make the notifications appear to come from the person who would have submitted the form, do the following:

    1. Load the form in question into the form builder and while on the "Setup & Embed" tab, click Email Alerts

    2. Click the "Reply-To & Recipient Settings" button and when the envelope loads, click "Sender Name" and then the field shown below:

    3. Click the "Finish" button and save the form

That will change the name in the "From" field in the notification. There's no need to change the {form_title} tag in the subject unless you want the subject of the notification to state something different. For instance, let's say Tim Campion were to make a submission. You can have the subject of the notification state: Submission from Campion, Tim via the September 2011 Trucker Signup Form. Type "Submission from {pleaseSelect} via the {form_title}" (without the quotes). You can insert the tags without typing them out by clicking where you want to insert them and then clicking the appropiate field in the floating menu on the right:

I have to go out now but one of the other members of our team will be here to assist you in my absence.

    Cheers.
