    Using the Auto Delete Submission App will not free up upload space.

    I am asking visitors on my website to upload videos.

    To allow this I found jotform and integrated it with my dropbox account.

    Maybe I misunderstood but I thought I read that if I integrated dropbox the videos would go directly from my site to dropbox and thus I would not go over my 100mb limit as a free user. I thought that file sizes wouldn't matter because I wouldn't be storing any files on your site.

    However it appears that I have gone over my 100mb limit. I am wondering if there is a way to set it up so that no copies of the files are saved to jotform and instead they are just moved to dropbox?

    Any advice would be appreciated.

    Hi Jesse,

    Unfortunately, you cannot bypass our file storage limit even when you integrate your form to Dropbox, Google Drive or Box. But you can always delete your submissions with file uploads to free up space.

    You can use our Auto Delete Submissions App: http://apps.jotform.com/app/auto_delete_submissions. This app deletes your submissions as soon as they are received by our servers. But note, once the submission is deleted, you cannot retrieve it anymore. So please use it when you need automation. Otherwise, you can manually do it by going to your form submissions page.

    1) If I set up auto delete and also have my jotform integrated with dropbox, will the submission get added to my dropbox before it is auto deleted from jotform? (it appears from my tests that they do get added to dropbox before they are auto deleted)

    2) Previously when I deleted my submissions manually my upload space returned to zero. However now I set up the auto delete app as you guys suggested however once it deletes the submission the upload space is not returning to zero. It is remaining maxed out.

    How do I fix this so that auto delete will fully delete the submission. Now I don't even have an option for manually deleting the submissions because they appear to already be gone.

    As far as I know our servers can not be bypassed, even though the submissions are deleted with that app, since this is the business model, I just did my testing:

    1)I added one of my forms to the App

    2)Then I submitted it multiple times  with a image file attached

    What I noticed is that the submissions are automatically deleted, and they are saved in Dropbox, however the upload space counter still increases. 

    Let me confirm this with our second level to provide you an accurate answer.

    I'm sorry I don't understand what you mean, or maybe you didn't understand what my question was.

    My question to you or welvin is simply this: Is it true that I can manually delete submissions and lower the available upload space but I cannot auto delete my submissions and lower my upload space?

    Secondly, if auto deleting does not lower my upload space, but I have already auto deleted submissions how can I manually delete them in order to lower my available upload space?

    1)  Yes, you can manually delete submissions to free up upload space.

    Now, as you and I  noticed, using the Auto Delete Submissions app will not  lower the upload space . (I will contact level 2, so the auto deletion lowers the upload space)

    2) Since you already use the App to auto delete your submissions, manually deleting them would required you to remove your form from the Auto Submission Deleter  app:

     

    Then each time you receive a new submission, you will have to click on Submission tab:

     And click Delete:

    The App was created in order to avoid doing this manual process each time, I will contact our second level in order to make the auto deletion lower the upload space. I hope I made myself clear this time.

    Once the Auto Submission Deleter app works the way we expect it to work (lower the upload space), we will let you know via this thread.

    Thank you! That is clear now.

    The issue I still have is that you suggested I get rid of the app and then delete the submissions manually. I got rid of the app but how am I supposed to delete the submissions manually as the auto delete app already deleted the past submissions and so there appears to be nothing remaining for me to delete.

    Also you said that the level 2 would fix the issue with the auto delete app not lowering the upload limit upon deletion of submissions.  Can you give me an estimate of how long that might take? I just need to know if it will be done in time for an upcoming event I have.

    Hello Jesse,

    That is correct. If the submissions are already deleted by app, it cannot be deleted again.

    My colleague have already reported it to our back end team. Unfortunately, we cannot provide an ETA on this resolution but for now I have removed the scheduled downgrade of your account. Your account will not be disabled.

    We will get back to you as soon as we have any update from our back end team.

    Thank you Ashwin. Just so I am clear, I am going to continue to use the form as I intended. Customers will upload videos, those submissions will moves to my dropbox automatically through the integration, and the app will delete the submission automatically from your server.

    However because of the problem with the app my  storage space will continue to rise, but as I will not actually have any submissions stored on your servers, you will allow me to continue to receive submissions without deactivating my account, correct?

    Ashwin or someone else at at jotform, I need help ASAP. We were going live today with our website and my jotform is no longer working. On Sept 16th Ashwin told me that your auto delete app was not working properly with your system because though it deleted the submission automatically as it is supposed to this did not lower the upload space available in my account (thus your system was not working properly with the app).

    Ashwin told me that he had removed the scheduled downgrade of my account and that my account would not be disabled until this was fixed. Today I woke up to an email at 7:44 am stating that my account had been disabled because I had reached the limits. Why did this happen?

    I need some very clear and honest info and I need it very quickly as I am currently holding off an email notifying some clients of our sites readiness, which it is not without an upload form.This form is central, and the timing couldn't be worse.

    My questions:

    1) Can my site be reactivated and can deactivation be prevented despite the fact that it says I am over my upload space (I am not over my upload space as I have the auto delete app, your system is just not recognizing this fact).

    2) Ashwin said he removed the scheduled downgrade, so how did my account get disabled? And how can that be prevented from happening again if you reinstate my account and repeat what Ashwin did when he said he removed the scheduled downgrade? Is their a more effective action that can be taken that what Ashwin did previously until you correct your your system interacts with this auto delete app.

    3) I need to know that if we do this again my form is not going to stop working out of the blue. Especially because since my conversation with Ashwin the only submissions have been my own and there have been only 3. What happens where they are my customers and there are dozens or hundreds?

    I would really greatly appreciate direct answers to the questions asked in 1, 2, and 3. My best clients are going to be the first ones to use this site and form and I cant have their first interaction with my organization be one that makes us seem incompetent. Do I need to figure out a different form option? Your brutal honesty is appreciated.

    Hi Jesse

    Your account is reactivated and I have pushed your space to be at 0MB. Now I can not promise anything on how long this would 'take'.

    What I would suggest is that you upgrade your account to PREMIUM for a month just so that your form does not go over the limit.This will give you 10GB of space so you can be sure that no limit will be breached and it costs $9.95. During this time our developers will still be working on this issue to resolve it.

    I should mention that even when everything is resolved, if you have several people uploading in the same time or uploading very big videos your account can again go over a limit on FREE account. If this is something that you will be using a lot and have big files transferred I strongly suggest upgrade.

    Please make sure that you remove the auto removal app from your form because, as mentioned by my colleagues above, it will remove the submissions, but will leave the count present.

    To lower the amount you should remove them manually.

    Now what I can tell you on the bug with DropBox and uploading space is that our developers are assigned to this and it is marked as important. To us this means that unless the issue is hard to replicate it should be fixed soon, but we can not say exactly how soon.

    But even when the bug with how your system interacts with the auto delete app is fixed if I had multiple people submitting at once or if their files were big it could still cause me to go over the space limit and thus stop allowing customers to upload?

    Yes, that is correct. If you go over the limit of 10GB for Premium Plan, your form will be temporarily disabled. When it's disabled, no one would be able to submit to it. Submitters will see an error. But again, you can download the files/submissions and delete it. That will free up your upload storage.

    So is this fix still pending?  We have a form getting ready to go live where we do the same thing -- integrate with Dropbox.  We'd like to use the Auto Delete app for our Jotform submissions which we don't need once they've been sent to Dropbox.  We'd love to be able to automate this step and keep our storage space on Jotform under the limit easily.  Is there an ETA for fixing this?  Thanks.
