Approvals: Possibility to not create a default flow by default

    Hi.

    I just noticed that an approval process was automatically added to all my forms. The approval that was added is sending an email to the email associated with our CF account. That person should not be automatically receiving approval emails when a jotform is submitted. I just went in and removed the approval process where I found them on my forms. Please let me know if this was a new feature that was added and why. Also, was notification of this feature being activated sent to the email address associated with our CF account? We should have the option to agree to the feature being incorporated or denying it.

    Thanks for reaching out to Jotform Support.

    In taking a look at my old forms and creating a new form, I'm not seeing that approval flows are automatically created and unaware of any changes that would have been made. If you create a new form on your account is one automatically created for you and if so can we test this directly on your account?

    Hi.

    I just created a new TEST Form and, when I clicked on 'Form Builder', and 'Approvals', it did show an approval flow that I hadn't entered.

    Hello Anne,

    Thanks for reaching out to Jotform Support. I understand that you do want not to have the default approval workflow in your form.

    By default, there's no approval workflow added to a form not until you click on the "Create an approval flow" button in the Approval Flows Settings.

    If you clicked on the button "Create an approval flow", it will generate a default approval workflow for you to start with. Now, you can always delete it.

    1. To delete the Approval Workflow, go to the Settings tab.
    2. Click on the Approval Flows tab on the left.
    3. Hover your mouse on the exisiting Approval FLow and then click on the Settings icon.

    I've created a form in your account for testing purposes. The name of the form is "Test Approval flow Form". It is added to your folder Development Team.

    Here is the recording while I'm creating the form. If you notice that when I clicked on the Approval Flow tab on the left, the only option available is the button "Create an approval flow". It won't generate a default approval workflow if you won't be creating it.

    Now, if you don't want the default approval workflow that has been generated just after you clicked on the button "Create an approval flow", we've gone ahead and escalated your request to our Developer Team. When or if it's developed depends on their workload, how viable it is, and how many other users request it. If there are any updates, we’ll circle back to this thread and let you know. 

    This is the default approval workflow generated just after clicking on the button "Create an approval flow".

    I clicked where it says 'Form Builder' and then Approvals from the dropdown and it showed a default approval flow. Does this then added to my form at this point without saving? When I clicked on 'Form Builder' and 'Approvals on all my forms, they all showed the same default approval flow. I did these two steps for all my forms then deleted each approval flow. This made it seem like the default flow was automatically added to all my forms but, you're saying that by clicking on 'Form Builder' then 'Approvals', the default approval flow is automatically added at that point and since I clicked on 'Approvals', I need to delete the default flow?

    Also seems somehow through this process I may have deleted a colleagues approval flow. Are these archived and able to get back somehow?

    Hello Anne,

    Thanks for getting back to us. That is right. The approval you create via the Form Builder will be automatically added to the form. You have the option to delete the default flow by modifying the elements within the approval workflow. As for your other question, I've moved that to a new thread. You can check that out here.
