Approval form does not seem to be sending proper links / linking properly

    Hi team

I have a few ID 2 part application forms where the applicant completes and pays before submitting their application form to their nominated approver. The approver checks and completes their part of the application then approves it. However when I check my received applications the 1st part of the form (applicants part) is appearing in a seperate repoert from the 2nd part of the application form (approvers).

Also the approver isnt seeing the applicants completed part of the form example their photo, Have I done something wrong when I cloned the original working correctly form (I wanted to add a discounded app hence the cloned form)

Can anyone help, especially linking or populating the 2 parts of the application form so it appears as 1 with both the applicants and approvers details. This will allow me to see all the completed field's within 1 report. This way I will know the form has been completed fully and paid so I can then order the id card.

If anything is unclear let me know.  I've had to put this project and now I am ready to move forward with it.

Thanks for any help in advance.

    Mark

    Hi Mark,

I presume that you did not change the edit URLs in the emails once you have cloned the jotform?

If not, please edit them to point to the correct Form ID and it should work correctly for you, otherwise your applicants would be opening one jotform and your supervisor other (looking almost the same).

If you did make the change, please give us the link to the jotform so that we can better understand the issue and the workflow.

    Thank you.

    Hi Ben

I am a little lost here, sorry like a different language.

Would you have a look my app in question is http://form.jotformeu.com/form/43313079094353

Yeah the form isn't being received as 1 completed form?

Let me know what you think.

    thanks upfront for the help

such a great team there, always getting back so quick.

Sorry about that Mark, but I do see the issue as soon as I took a look at the emails, so hopefully you will forgive me :)

I believe that you want to have:

    1. one person (applicant) fill in the data and submit the jotform
    2. followed by a second person ('approver' / supervisor) fill in few other hidden details - on the same jotform with the same data.

Now, your current setup is sending the link in the email to the old form:

    http://www.jotformeu.com/form/41462888977374?fullName[prefix]={fullName:prefix}&fullName[first]={fullName:first}&fullName[middle]={fullName:middle}&fullName[last]={fullName:last}&dateOf[month]={dateOf:month}&dateOf[day]={dateOf:day}&dateOf[year]={dateOf:year}&address[addr_line1]={address:addr_line1}&address[addr_line2]={address:addr_line2}&address[city]={address:city}&address[state]={address:state}&address[postal]={address:postal}&address[country]={address:country}&applicantEmail11={applicantEmail11}&verifierPasscode=V3rifi3R&pleaseSelect12={pleaseSelect12}&postage={postage}&mobileNumber[area]={mobileNumber:area}&mobileNumber[phone]={mobileNumber:phone}&homeTel17[area]={homeTel17:area}&homeTel17[phone]={homeTel17:phone}&termsOf[]={termsOf:0},{termsOf:1},{termsOf:2},{termsOf:3},{termsOf:4}&gender19={gender19}&emergencyContact[area]={emergencyContact:area}&emergencyContact[phone]={emergencyContact:phone} &verifiersEmail26={verifiersEmail26}&clickTo27={clickTo27}&route128={route128}&esignatureapplicant={esignatureapplicant}

This email is in the form 43313079094353.

Since the ID of the form is different the second part is being made on a different jotform explaining the 2 reports.

Now there is one more thing with the email structure above. You will actually be making 2 different submissions under the same jotform if done like that, what I believe that you are after is the edit link, which will allow you to fill out the rest of the details that the user did not see - fill out.

The way to do that would be to replace that big link with {edit_link} tag instead.

I have made the change for you so that you can simply clone my jotform back to your account and have it set like that and ready for testing.

You can see it here: http://form.jotformpro.com/form/50466627522961

Now, I would suggest to clone it to your account to see if it works as you need it to, but if not, please do let us know. You can see here how to do that: How to Clone an Existing Form from a URL

     Hi ben

The form functionality no longer works. The verifier doesn't receive email with a link to application forms so they can verify ID and approve application (done by clicking on massive link) the 2nd part. Also applicant doesn't receive an email with details of the fields they have completed. I tested in sandbox paypal usingmy emails and didn't receive any either the applicant or one as the verifier.

Do you want a link to a form that works? The form I was having issues with was my discounted form as per my previous link to the application.

    Many thanks for your help

Yes, that might be best as it would allow us to see where the the first form is linking to and the difference with the second form.

This one: http://form.jotformeu.com/form/43313079094353 is not working properly.

You are welcome Mark and do note that we are always available to help :)

Now I took a look at the issue and I see that I was correct in my earlier post about the issue with the link, but I apologize for not explaining it properly.

Now I made the change myself in your jotform (http://www.jotformeu.com/form/43313079094353) so it should work properly now, but will explain what I did.

When you submit this jotform: http://www.jotformeu.com/form/41462888977374 it sends you a link to itself set up to pre-fill the data for the submitter to check.

Now issue with the next jotform that you have cloned is that email body stayed the same, so it still worked, but had made the submission on the wrong jotform (the one that you have cloned).

This happened because the link was pointing to the original jotform was not changed so it looked like this:

    http://www.jotformeu.com/form/41462888977374?fullName[prefix]={fullName:prefix}&fullName[first]={fullName:first}&fullName[middle]={fullName:middle}&fullName[last]={fullName:last}&dateOf[month]={dateOf:month}&dateOf[day]={dateOf:day}&dateOf[year]={dateOf:year}&address[addr_line1]={address:addr_line1}&address[addr_line2]={address:addr_line2}&address[city]={address:city}&address[state]={address:state}&address[postal]={address:postal}&address[country]={address:country}&applicantEmail11={applicantEmail11}&verifierPasscode=V3rifi3R&pleaseSelect12={pleaseSelect12}&postage={postage}&mobileNumber[area]={mobileNumber:area}&mobileNumber[phone]={mobileNumber:phone}&homeTel17[area]={homeTel17:area}&homeTel17[phone]={homeTel17:phone}&termsOf[]={termsOf:0},{termsOf:1},{termsOf:2},{termsOf:3},{termsOf:4}&gender19={gender19}&emergencyContact[area]={emergencyContact:area}&emergencyContact[phone]={emergencyContact:phone} &verifiersEmail26={verifiersEmail26}&clickTo27={clickTo27}&route128={route128}&esignatureapplicant={esignatureapplicant}

when it should have looked like this instead:

    http://www.jotformeu.com/form/43313079094353?fullName[prefix]={fullName:prefix}&fullName[first]={fullName:first}&fullName[middle]={fullName:middle}&fullName[last]={fullName:last}&dateOf[month]={dateOf:month}&dateOf[day]={dateOf:day}&dateOf[year]={dateOf:year}&address[addr_line1]={address:addr_line1}&address[addr_line2]={address:addr_line2}&address[city]={address:city}&address[state]={address:state}&address[postal]={address:postal}&address[country]={address:country}&applicantEmail11={applicantEmail11}&verifierPasscode=V3rifi3R&pleaseSelect12={pleaseSelect12}&postage={postage}&mobileNumber[area]={mobileNumber:area}&mobileNumber[phone]={mobileNumber:phone}&homeTel17[area]={homeTel17:area}&homeTel17[phone]={homeTel17:phone}&termsOf[]={termsOf:0},{termsOf:1},{termsOf:2},{termsOf:3},{termsOf:4}&gender19={gender19}&emergencyContact[area]={emergencyContact:area}&emergencyContact[phone]={emergencyContact:phone} &verifiersEmail26={verifiersEmail26}&clickTo27={clickTo27}&route128={route128}&esignatureapplicant={esignatureapplicant}

Notice the difference in the URL where the ID of the form was changed - the bold parts. The red showing how it was and blue how it is now.

Now, as this was creating 2 submissions for your jotform, I would like to ask you if you are not looking for the same submission to be used when approving the submission? This will eliminate duplicate data submissions and save 50% of the submissions for you and would be easy for us to set up.

Now I did create a quick sample for you, in your account so that you can see - titled "edit submissions sample - Ben" http://www.jotformeu.com/form/50507251952351

Please do test it out and let us know if that might be something you would prefer, but also Mark, do test the jotform that had the issue so that you can see if it is working properly for you.

    Hi Ben

thanks for our help so far.

I tested all the forms using the paypal and none of them seemed to work -they all ended up in incomplete payments on the report. NO emails received by applicant or approver.

I tested your form using sandbox. The applicant received an email and the application verifier also received an email, however the verifier edit link didn't work saying invalid form url - this form is not available for this domain.

I agree with you the one form submission like you said would be best if we can get it to work.

maybe the forms are too complicated??

    Cheers

    Mark

    Hello,

... however the verifier edit link didn't work saying invalid form url - this form is not available for this domain.

Can you please paste that actual invalid edit link of form URL here. We will check it.

Usually the invalid form URL is just due to the invalid domain name used in the form URL.

Exampe, your form http://www.jotformeu.com/form/43313079094353 have the jotformeu.com domain instead of the jotform.com

Try this URL http://www.jotform.com/form/43313079094353 see if it gives the same invalid URL message.

We will wait for your updated response.

    Thanks.

Unfortunately, my colleague Ben is not online at this moment. But all the posts we enter here are also emailed to him.

I see that you're testing this form: http://www.jotformeu.com/form/50507251952351 but the autoresponder link in it was still pointing to your old form. So, I went ahead and recreated the link on that autoresponder. I think the form should work ok now.

Please make another test submission and let us know how it goes.

If the link still doesn't work please share a screenshot of what do you see on your side so we can better understand what happens when you click on the edit link.

    We'll wait for your response.
    Thank you.

    Hi,

No joy the form sits in the incomplete pot and no emails sent or received,  I take it the 2 part form can not be received as 1 as 1st thought?

I'm sorry, but I don't understand your last reply.
Are you having issues with the email notifications configured in your forms?

I've checked the autoresponders of this form: http://www.jotformeu.com/form/43313079094353 and they don't have the Recipient Email configured in them.

Approval form does not seem to be sending proper links / linking properly Image 1 Screenshot 30

Approval form does not seem to be sending proper links / linking properly Image 2 Screenshot 41

Please select the field that is going to be used to send the emails and try again. You can read more about how to configure autoresponders here: https://www.jotform.com/help/26-Creating-a-Form-Autoresponder

    Thank you.
