We provide classes to individuals and companies on specific dates. We want to be able to share a specific form (a class date) with a client and/or presenter so they can add, edit, delete class participants to the form, including custom fields. This will reduce data entry in house. We have about 25 active events at any given time. Every time we share the form do we have to assign a sub user for this to work?

I recommend setting a Sub-Account User to your account also.
Check the user guide: -How-to-Share-Forms-with-a-Sub-Account-User
I also recommend signing up for an account if you haven't done so yet. You can use this link https://www.jotform.com/signup to signup for an account using your email account.
Hope this help. Let us know if you need further assistance.
