What is Form 941?
Form 941, Employer's Quarterly Federal Tax Return, is how most employers report the federal income tax they withheld from employees' paychecks, along with both the employer and employee shares of Social Security and Medicare taxes. It also compares those amounts against the tax deposits you made during the quarter.
Who needs to file Form 941?
Generally, any business that pays wages to employees and withholds federal income tax or Social Security and Medicare taxes files Form 941 each quarter. Once you've filed your first one, you keep filing every quarter, even if you have no tax to report, unless you file a final return or qualify as a seasonal employer.
There are exceptions. Employers of household or farm workers usually file other forms, and small employers the IRS has notified to file Form 944 report once a year instead.
When is Form 941 due?
Form 941 is due by the last day of the month after each quarter ends: April 30, July 31, October 31, and January 31. If you deposited all taxes for the quarter on time and in full, you get 10 more calendar days to file. When a due date falls on a weekend or legal holiday, you can file on the next business day.
What are common Form 941 mistakes?
Totals that don't match are the most common problem. The tax liability you report in Part 2 (or on Schedule B, if you're a semiweekly depositor) should equal your total taxes after adjustments and credits on line 12. Other frequent errors include using the wrong EIN, checking the wrong quarter, and forgetting to sign the return.
How do I fill out Form 941?
Start with your EIN, business name, address, and the quarter you're reporting. In Part 1, enter the number of employees, total wages, federal income tax withheld, and taxable Social Security and Medicare wages, then figure your total taxes and the deposits you've made. Part 2 asks about your deposit schedule and your tax liability for the quarter.
