Hello, I am an event planner and I was wondering if you knew how to create a form for events for Monthly Sponsors, Vendors, and Client Agreements  (Multiple Businesses).

I know how to build a generic form and have used Google Forms to manage my events in the past.  The good thing about Google Forms is I can take a template agreement form that I have created, copy it and pre-fill in data specific to an event and business (Sponsor or Vendor).  I have the business complete the form and agree to our terms etc. Having unlimited copies of forms is my biggest advantage. We actually on average have 100+ events a month. We currently need probably about 50 forms a month because each one is customized for each vendor, sponsor or client.

The issue with Google Forms is some clients seem to have troubles completing the form and it is not as robust of features as JotForm. We would like to take payments, better e-signatures, better forms that work on all devices, etc. We would love to use Jotform, but we need to figure out how to create say one form for all sponsors for one month or even year. Jotform does not provide unlimited forms which is our hurdle.

How do we create a form that obtains the business name and info, but has specific data for the events that are specific to that business that no one but that business can see.

The only option I can find so far is to create a Invoice that I can email with the form link. The business would have to fill out the form and add in a field the Invoice Number - which would relate to all the information specific to the client.  This solution is not ideal, because our clients or some business should not be receiving an invoice per say, they just need to agree to our terms etc. The invoice would have details but would be $0.

Any help would be greatly appreciated. I would think there is a simple solution that I have not thought of, I can only hope so. We would love to start using Jotform and upgrade our plans.

Thank you for your interest in our service.

Alternatively to the invoice field you might consider using form prepopulation by URL parameters option.

Prepopulating Fields to Your Jotform via URL Parameters

You can email business specific links (prepopulated form links) to your clients this way.
