Submissions don't automatically appear in Tables.

When clients complete the form online, the record is visible in the Inbox however it is not visible in the Table until I edit it. How can I make it visible or in my Table immediately upon the client submitting the form?

    Hi Steven,

Thanks for reaching out to Jotform Support. The Submissions table gets updated in real time. If you don't see the submissions in the table, you can refresh your browser to see the latest submission.

Let us know if you need any more help.

Thanks but not true, or at least I’m not making myself clear. Here is the scenario:

    1) client completes and submits form

    2) my Jotform app indicated that I have a new submission.
    3) I login to Jotform and go to the table

    4) the record is not there, anywhere

    5) I go to Inbox, and there it is

    6) in order for it to be visible on the Table, I must edit and save it in the inbox

    7) I return to the stable, refresh and there it is

why can I not simply skip step 2 to 6?

    Hi Steven,

Thanks for getting back to us. I'm really sorry you're having issues with this. When a submission is made, it's supposed to appear real-time both in Tables and in Inbox. When you said Jotform App, are you referring to Jotform Apps? Because I saw that you embedded your form into two of your Jotform Apps. Take a look at the screenshot below:

Submissions dont automatically appear in Tables Screenshot 30

Can you confirm if your form fillers are filling out the form through any of these apps? If yes, which app are you currently publishing? I cloned your app, as well as your form and tested it to see if I could replicate the issue, but everything was working properly. Check out the screencast below to see my results:

Have you tried opening your Jotform Tables using a computer, or just using your phone? I suggest you try opening submissions using your computer, and see if the issue still happens. I've gone ahead and cleared your form caches from the backend. Can you try it again and see how it goes? If you run into the same issue again, let us know, and we'll do some more testing to see what's going on.

Once we hear back from you, we'll be able to help you with this.

Hello. The apps that you referred to are used. I “played” with making them some time ago but have no use for them, have never used them, nor do I fully understand them at this time.

My clients only fill out the Form. I have tried this on both my phone and computer. I primarily use my computer for everything JotForm. This Inbox vs Table issue has always been as described and I have assumed this is the way it is, however as I get busier, it does not seem to make sense and is excessive work to keep on top of new records. Perhaps I simply don’t understand the order of things and require an explanation of what happens to a record once submitted via the form, and where I should see and modify it. Also there is an “Approval” function in JotForm that I do not understand.

    thx

    Hi Steven,

Thanks for getting back to us. I cloned and tested your form to see if I can replicate the issue, but everything was working properly. New submissions are then reflected real-time both in Inbox and in Submission table. See my screencast below: Submissions dont automatically appear in Tables Screenshot 20

As a precaution, I have cleared your form's cache which normally fixes temporary issues and to refresh your forms. Can you try it again and see how it goes? If you run into the same issue again, let us know, and we'll do some more testing to see what's going on. If you run into the same issue, can you do a screen recording using any online screen recorder like Loom and send us the link so we have a better idea of the issue?

Give it a try and let us know how it goes.

Okay, I may have found the confusion. After more testing, I have found that the new entry does actually appear within the jumbled mess of the table. I have been using another view of the table where I filter records based on the value of a specific field (Stage). So this particular issue is resolved however it leads to the root cause problem I have been having. Here it is:

When a client completes and submits the form it is a quote only. For that reason I have a field (Stage) that defaults to the value "Quote". That value is one of the values filtered to view on my table view. I do not display the field (Stage) to the client, ever. It seems that because the field (Stage) is hidden from the client, even the default value of "Quote" is not entered into the field, and consequently that record is not filtered to be visible on my table view.

    So the question is,

how can I get a hidden field to have a value when it is first submitted?
