Mass email invite to submitters: Fill a new form with prepopulated info from their previous form.

    Hi there!

Every year I require my staff (250+) to fill out an "Employee Profile". This includes personal information, emergency contacts and a profile picture. I have recently been taking advantage of porting information from one form to another by manipulating the URL - i.e. "?firstName={firstName}" etc.

What I would like to do is invite my staff via email to complete their 2022 profiles, but have the information prepopulated from what is already available on the 2021 profile. If all the information from 2021 is still correct, they can simply add a new profile pic and submit it. If they need to adjust their info (address change, etc.) they can make the proper adjustments.

I set up the SMPT server and ran a test using the http://email.jotform.io// app. I was able to send a mass email to a test group of submitters. So I am confident that I can send a mass email to a submission group. Is there a way that I can I add a link to the email that would direct the user to my new form that is prepopulated with the old form's info?

I did notice an option in the Publish section that says "Prefill" I tried to select "from another form" but the pulldown menu to select the form was inactive.

If you want to prefill data from another form from 2021, then you can use the Tables Prefill feature.

Here is a related guide: https://www.jotform.com/help/1808-how-to-prefill-form-fields-with-data-from-other-tables-with-table-prefill/

Do try out and let us know if that helps.
