How New Riff Distilling uses Jotform to be more efficient

Few pairings are as synonymous with one another as bourbon and Kentucky. (A case could be made for Wisconsin and cheese, but Kentucky’s claim on bourbon likely wins out.) Given the legacy and hallowed history of flagship distilleries found on the Kentucky Bourbon Trail, it can be tough to be the new kid on the block — much less make a noteworthy impression on the local whiskey scene.

But New Riff Distilling, a family-owned distillery based in Newport, Kentucky (bordering the Ohio River), has done just that. Established in 2014, New Riff is a relative newcomer to the world of spirits, by historical standards. Yet its distinctive whiskeys, unique blends, signature single barrel selections, and stylish branding have helped New Riff quickly make a name for itself in the Greater Cincinnati area and beyond, even leading to a mention in the New York Times.

While this acclaim has been welcome, New Riff’s rapid growth caused scaling challenges for its processes and operations. 

“We’ve always held quality to the highest standard when it comes to our products,” says Aly Fossett, Single Barrel Program director at New Riff Distilling. She’s been on staff for seven years and has watched New Riff more than triple in size during that time. “We’re at the point now where we can use that same quality of standard and apply it to the programs and processes behind our whiskey.”

Finding solutions with Jotform

That’s where Jotform comes into the picture. Fossett was looking for an easy way to collect e-signatures through a form, which initially led her to Jotform. But she soon realized that Jotform was capable of much more than just e-signatures.

Over the next year and a half, she continued implementing Jotform extensively throughout New Riff’s processes, both internal and external. These uses include event contracts, scheduling customer pickups, sign-in forms, web inquiries, proxy forms, consent waivers, and nonprofit identification forms, to name a few.

At this point, New Riff uses over 30 forms for a wide variety of information gathering. The company also relies on Jotform Approvals to streamline requests for event teams and internal departments.

“The approval flow process with Jotform is very helpful,” says Fossett. “It’s helped alleviate a lot of confusion between departments, allowing us to get projects done quicker. [Jotform] Approvals has really made that day-to-day work much more efficient.” 

Going further with Jotform and Zapier

On top of this, New Riff uses Jotform in conjunction with Zapier for seamless customer follow-up, relationship management, and data organization. Fossett uses Jotform to collect initial information from customers, then drops that into Zapier to help automate the response process.

“Jotform and Zapier go hand in hand for me,” says Fossett. “What I like about using them together is that they really do a lot of the work for me — we’ve been able to eliminate admin work and enhance our experiences [as a result]. Zapier and Jotform work so well together that it almost feels like one system.”

Through successful implementation of Jotform and other systems such as Zapier, Fossett has been able to transform New Riff’s processes and increase efficiency across departments, even as New Riff’s operations have continued to expand.

With less effort needed to manage administrative tasks, New Riff has been able to dedicate more resources toward what it does best: crafting high-quality bourbon and other spirits that may end up on store shelves near you or in your next Old Fashioned cocktail.

Conclusion

Even though bourbon and online forms may seem an unlikely pairing, New Riff has shown that the two can work in harmony to create a better overall experience for customers and internal teams alike.
