I am having a vendor fair and I would like to see the vendors before they submit a payment. I do not want us to have the same type of vendors at the event if that's all possible. So is there anyway I can look at the form first and then send them an email stating they have been approved and they can make their payment thru cash app?

Hi Cynthia,
Thanks for reaching out to us for help. What you want to do is possible with Jotform. We have what we call Approval Flows to handle your evaluation and registration processes. You will need two forms to make this work: (1) an Evaluation Form and (2) a Payment Registration Form. Suppose you already set up both forms with all the fields you need on each one of them. Let me show you how to set up the Approval Flows:
- Open your Evaluation Form in Form Builder, and click on Settings in the orange navigation bar at the top of the page.
- On the left side of the page, click on Approvals. Then, click on Create an Approval Flow. This will redirect you to the Approvals page where you will see a basic approval flow created for your form.
- In the existing approval flow, delete the Email element and replace it with a Form element.
- Click on the Complete Settings on the Form element to open the Form Settings window.
- In the Form Settings window, click on Select a Form and select your Registration Form in the dropdown menu.
- Click on the Form Fields dropdown menu, and select the Email field under your Evaluation Form. Then, click on Save.
If you want your vendors to receive a prefilled Registration Form with data they submitted initially on your Evaluation Form fields, go to the Prefill tab of the Form Properties, enable the Prefill Form Fields, select the Evaluation form, and match the fields between the two forms. Don't forget to save the changes.
You can also update the content of the email that will be sent and ask your vendors to fill out your Registration Form.
Now, when a vendor submits your Evaluation Form, you will receive an email to approve their submission. Once approved, your vendor will receive an email to fill out your Registration Form.

Thank you, I understand. I know in publish form you can see it work. Can I send it to someone for a test drive and to make sure I receive the approve form first?
Once I finished everything,
how can I publish the form to go out and also how can make sure it hit my facebook, Instagram, and community page?thank you again

Hi Cynthia,
Thanks for getting back to us. Yes, you can make test submissions to your forms. You can set up your payment form to sandbox mode so that you complete the process without making a live payment. Also, note that test submissions are counted as one of your account submissions, this will consume your account submission limit.
