Salesforce Integration: How to create Case on Salesforce using Form submissions?

  • Mike Salisbury
Asked on July 14, 2022 at 1:22 PM

We are a Salesforce service cloud customer who uses both web to case and email to case. Does the Jot Form map fields to case object using Web to Case or Email to Case?

    Hello Mike,

Thanks for reaching out to Jotform Support. Your question was actually asked previously and answered by another agent on a different thread. Please check that out here to see our reply.

If that’s not exactly what you’re looking for, can you explain a bit more so I can help you better?

    HI Mightor,

thx for the link. Two questions:

    1. Is a trial available?

    2. Will any edition or tier of Jot Form use the Salesforce integration as laid out in the URL, How does this, or does it at all, work with cases in Salesforce? (jotform.com)?

    Thx in advance!

    Mike

You might just have a new customer....

Mightor, forgot to confirm...can the Jotform tool have a widget that will allow my site visitor to add "attachments" to the Jot Form that will, in my use case, become a Salesforce Case in our company?

    Hello Mike,

Thanks for getting back to us. Regarding your questions, is there a Trial available for Salesforce Integration? Yes! As soon as you created your form, even with Free Subscription, you can go ahead and Integrate it into your Salesforce account. Check out this guide about How to Integrate Jotform with Salesforce?

Unfortunately, I wasn't able to fully understand your second question. However, the way that it works is real-time which means that as soon as your users successfully submitted their forms. The data will also automatically reflect on your Salesforce account.

Lastly, you can add the File Upload element into your form to capture attachments from your users. However, please note that the file uploads will only be sent on the integration as a link to the download file on Jotform Server. Also, you might want to configure your Salesforce case field to map the file upload on your form correctly.

Give it a try and let us know if you need any help.

Richard, my Jot Form is only coming into my Salesforce as an “email to case” because I had my settings set CC: an email to our queue in Salesforce.
So the “form” isn’t being set to Salesforce. Nor is the functionality of have any file attachments downloaded to Jotform and then a “link” of the URL to the form on your server, showing up to the field I’ve mapped to in my Salesforce Case.
I mean the form is nice looking but it’s not the experience I was looking for… Do you have any more detailed suggestions or maybe Monday I could connect with someone over a meeting?

    Hello Mike,

Thanks for getting back to us. I understand your requirements. However, unless the Salesforce account is Integrated into your form, it's the only way to pass the data from the form to Salesforce. If you can provide the exact flow you wanted to happen into your form and salesforce account. Perhaps, we can provide a better recommendation or open a feature enhancement with our Developer team.

Unfortunately, we do not have Phone Support but we'll be happy to assist you further on this thread or by raising your concern on our Support Forum.

Let us know if you have any other questions.

Does the field in the Salesforce Case that will hold the URL of the file attachment need to have the properties of a URL/Website field? Or just a text field?

    Hello Mike,

Thanks for getting back to us. Basically, you would connect the File Upload field on your form to a text field in Salesforce. Then, the uploaded file will reside on Jotform's servers, and the link directing to that file will be pushed to the Salesforce text field. The file can be opened by clicking on the link even if it is located on Jotform's servers.

Give it a try and let us know if you have any other questions.
