Assigning forms in Jotform Mobile Forms

    Hello,


    I am exploring jotform to use for our client surveys while in the field. This means we need to be able to access the forms while offline from multiple devices.


    I have figured out how to download the form onto the jotform app on my personal phone, but when I send someone the link to the form, it takes them to a webpage instead of the Jotform app.


    I need to figure out how to get access to the form in the app when shared, so that the other users can also make the form available offline. Please help!

    Hi Charlie,

    Thanks for using Jotform.  I would suggest you please take a look at our "Add to Home Screen" widget and see if that fits your requirement. This widget will add a shortcut for iPhone, iPad, and iPod. When users click on the shortcut, it will open your form on their home screens.

    Thanks for the reply. My understanding is that this will still require internet access to use- is that correct?

    Hi Charlie,

    Thanks for reaching out to Jotform Support. To view your forms and collect data offline, you need to enable offline forms in Jotform Mobile Forms. Doing that is easy. Let me show you how:

    1. Launch the app, in the top-right corner, and click on the gear icon.
    2. Then, choose Offline Forms.
    3. Select the forms you want to be available in offline mode.

    Please note that some form elements and widgets need an internet connection to work properly. The app will show a warning message if your form can’t be used offline.

    Hello,

    thanks for the reply.

    I know how to set up the forms offline once they are in the app, my problem is that when I send a different user the link to the survey it doesn't open in their app, it opens on a webpage.

    How do they get the survey to open in their apps?

    Hello Burnett_Charlie,

    Thanks for getting back to us. The normal behaviour is when a user clicks on a form's URL, their phones default browser would open-up the form. And the user will need internet access for them to view the form in their browsers. But a form can still be accessed offline via Kiosk Mode. This requires the account who owns the form to be logged-in to the device for the users to access the form.

    You can ask your colleagues who'll handle the survey to clone your form. This way, they'll have a copy of your form in their account. If the users submits the form using your colleagues cloned form, then the submission would be theirs.

    Ah, okay this makes sense. Is there a limit on the number of devices that can be logged in to a single account?

    Hi Charlie,

    Thanks for getting back to us. I apologize for the confusion. Sharing login credentials is against our Terms of Use, so please don't share them with people to gain access to your forms. If you want them to be able to fill in the forms offline, I recommend having them create their own Jotform account, download the Jotform Mobile Forms app, and then assign the forms to them. This way, they'll have them in their account and can fill them out offline through the app.

    Just to clarify, if we have multiple groups in the field collecting surveys at the same time, each ipad that they use needs to have its own unique account?

    You are correct, each device should have a unique Jotform account as sharing login credentials is strictly prohibited.
