What is Form 2106?
Form 2106, Employee Business Expenses, is used to figure the deduction for ordinary and necessary expenses of your job, like vehicle costs, travel, and other work expenses your employer didn't reimburse. It's attached to Form 1040, 1040-SR, or 1040-NR.
Who can use Form 2106?
Under current federal law, most employees can't deduct unreimbursed job expenses. Form 2106 is limited to Armed Forces reservists, qualified performing artists, fee-basis state or local government officials, and employees with impairment-related work expenses.
If you don't fit one of these groups, you generally won't use Form 2106 on your federal return. Some states have their own rules for employee expenses, so check your state's instructions too.
Where does the Form 2106 deduction go on my return?
For reservists, qualified performing artists, and fee-basis officials, the deduction generally goes on Schedule 1 (Form 1040) as an adjustment to income. Impairment-related work expenses are handled differently and are usually claimed on Schedule A. The Form 2106 instructions explain which line to use.
Should I use the standard mileage rate or actual expenses?
Part II lets you figure vehicle costs with either the standard mileage rate in Section B or actual expenses like gas, repairs, and insurance in Section C. Section D covers depreciation if you own the vehicle and use actual expenses. There are rules about when you can switch methods, and the mileage rate changes, so check the current instructions before choosing.
How do I fill out Form 2106?
Enter your name, occupation, and Social Security number at the top. In Part I, list your expenses in two columns: Column A for costs other than meals and Column B for meals. Include vehicle expenses, parking and tolls, travel, and other business expenses, then subtract reimbursements your employer paid that weren't included in your wages.
If you used a vehicle for work, complete Part II with basic information about it, such as when it was placed in service and how many business miles you drove, then figure the cost with the standard mileage rate or actual expenses.
