Jotform Sign: How will the user receive an email for review and signature?

    Once the form has been signed and submitted by the employee. How is the form sent to the client for them to review and sign?

    And does the client have to have Jotform to be able to review and sign the form?

    Thanks for reaching out to Jotform Support and we’re sorry you’re having trouble with this. I understand you want to know how your client will get the signed document from the employee to review and sign as well. Please note that your client will get an email similar to my screenshot below:

    Also, users are not required to have a Jotform account to sign the document. They can simply click the Review and Sign Document button, and the document to be signed will open in another tab of the same browser. We also have a guide about How to Use Jotform Sign that you can check out.

    Hi,

    As the form I am wanting to have completed and signed by the employee is a form in Jotform already. This method of collecting signature will not work as it requires to upload or to select one of the templates in your system not a form I created.

    It also doesn't allow the employee to select/added the email they are wanting to send it to. As it needs to be pre-determined. As the form is a timesheet and will need to be signed via different clients regularly, they will need to be able to change who the email is sent to easily from the phone app. As they are working in the field and regularly don't have access to a computer.

    Is there another method of collecting a signature form clients, where the employee can choose who the finalised timesheet is sent to for review and sign the document. Please note that we are not wanting the client to be able to change any of the information on the form only to be able to review and sign it.

    Hi Stephen,

    Thanks for getting back to us. I checked your form and see that Jotform Sign is not enabled, and that there are already conditions in place to disable the Input Table, Employee Name and Employee Signature when the form is being edited. The only thing needed is to create an Email field for the client, and an Autoresponder Email that will be sent to them when the form is submitted. Let me show you how to do that:

    1. In Form Builder, click on the Add Element button on the left and select the Email field.
    2. Next, click on Settings, Emails and Create a new Autoresponder Email.
    3. Next, in Email Content, you can add your texts and the edit link by clicking on the blue Form Fields button and selecting the edit link.

    Now, the client will receive this email template and they'll be able to edit the submission and sign it, without making changes to the employee fields due to one of your form's conditions.

    It's also possible to customize the PDF template, and attach it to the Autoresponder Email so they can receive it on form submission.

    Good afternoon,

    I am now wanting to have the Client Name, Client Title and Client Signature fields to show if they are not completed at the time of submission in the PDF that is emailed to the client. Can you please advise how to do this?

    Title of the Form is 'Timesheet' on this account.

    Hi Faye,

    In my understanding, you'd want to show the Client Name, Client Title and Client Signature fields in submission PDF if they are not filled. There is no option to conditionally show form fields in the submission PDF, however, you have the option to display empty fields. Let me show you how:

    • In PDF Editor, click on the Gear icon in the upper right side of the page.
    • Uncheck the checkbox next to Hide empty form fields. That's it.
