How to add a second form to the approval?

    When clients submit our Field Trip Request form is there a way that we can acknowledge to the client that the request/reservation has been approved ? Also is there a way to provide the client with a quote/cost either at the same time they receive the approval or as secondary form process we can add-in with this information that will link it to the original submission/form id ?

    Hi Sharma_Shila, 

    Thanks for reaching out to Jotform Support. The default Approval Flow automatically adds the Approve and Deny outcome emails. The Approve and Deny emails will be sent to users to let them know of the result of their submissions. Check the guide on this page on how to create an Approval Flow. As for the data that you want to add, you can do that by editing the submission, then add an Email element to show data that you've added.

    I used the approval flow in the past, and all of my clients reported that they were not receiving the workflow deny/approval email notifications. I assumed this was due to my clients not being "internal users" within my organization.

    Hi Sharma_Shila, 

    Thanks for getting back to us. Ask your clients to check their spam or junk folder if the issue happens again on your new approval flow. If they checked their spam or junk, and the approval email is still missing, let us know the users email address, so we can check it. Note that were unable to check email history that's more than five weeks.

    Is there another option aside from your response above ? Basically, after I approve a trip reservation, I would like to the send the client a cost quote to sign agreeing to the cost of the trip. I built a second form that contains the fields I need, and my goal is to link this form to the main Field Trip Request form using the form id.

    Hi Sharma_Shila, 

    Thanks for getting back to us. If you simply want to link the second form after the approval is completed, then you can add the URL of the form in the Approve Email's content or at the Thank You Page. But if you want to prefill fields on the second form, then you will need to add a Form Element to the Approval Flow. Here's how you can do that.

    1. Add a Form Element to the Approval Flow and click on the Complete Settings button.
    2. Add the second form and set the Assignee Email Address.
    3. Then, go to the Prefill tab and turn on Prefill Form Fields.
    4. Select a Source Form to Get Data From and match the fields from Form 1 to Form 2.
    5. Click on the Save button.
