Uploaded space usage does not change regardless deleting files.

    Hi Jotform Support Team,

    Just like to clarify further on how the usage limit on 'Upload Space' works ....

    1)  When a submission has a file attachment (e.g. size file 10MB), it will count into the 'Upload Space' limit.  This is clear.

    2)  Based on the this Jotform Reference : https://www.jotform.com/help/408-Understanding-Your-Account-Usage-and-Limits, it said that I need to permanently delete the submission with the attached file.  In this case, I will lose all data I need just to free up the usage space.  If this correct?

    3)  What would happen if I have the following 2 scenarios ...

    (a) Scenario 1 - If the user submitted the wrong file and use the editable link to re-submit the correct file (e.g. size file 8MB), does it count as 18MB in usage storage (i.e. the old file 10MB + new file 8MB)?

    (b) Scenario 2 - Since the user submitted the wrong file, I decide to delete the attached file directly via Jotform platform (since email is easier than to get the correct file compared to editable link).  Since the old file (10MB) has been deleted, the Usage space is now 10MB lesser?

    Please advise!

    Hello Megan,

    Let me answer your questions one by one:

    Question 1. I can see that you are clear on this one.

    Question 2. Yes, as per the guide, you will need to delete the old submission data to free up the upload space. But, before deleting, we always suggest our users to download the data. So even if you delete the data from the Jotform account, it will be safe with you.

    You could also consider integrating your form with Google drive. This will automatically store the submission data on your Google drive as well as in your Jotform account.

    Question 3.

    (a) Scenario 1 - 

    Yes, that is correct, there will be two files and the total space of 18 MB.

    (b) Scenario 2 - 

    Yes, you can delete the file from the Jotform Form Submission page. When you delete the wrong file, then space will be lesser by 10 MB.

    - Deleting data is not good option when the form is still active because I am still using the PDF Editor.  Any other suggestions?

    Unfortunately, you have only two options to choose from:

    1)Download the submission file then delete the data

    2)Upgrade to a higher limit plan

    (a) Scenario 1 - I am quite confused.  To clarify further, if the user replaced the 'old' file (10MB) with the new one (8MB), does it doing 'double' count as 18MB if it is based on the number of uploads from the same submission?

    The uploaded files does update the total file size. You may try to clear your form cache to check the updated file upload size.


    If the uploaded files are not updating, you may contact us so that we can update it for you.

    Apologies for the inconveniences this caused. 

    I have checked your current files and noticed they do not use the 16 Mb of space, I will be reporting this issue to our second level so this can be corrected. 

    We will keep you updated via this thread.

    I have been checking this further and found the file associated to the file that uses your space, it's the one with ID 4415914960516904060 and belongs to the form with ID 90791838235466. 

    Kindly try deleting that submissions and seeing if that helps.

    Based on your reply, it showed that deleting an attached file (14.5MB) from a submission will not reduce the 'Usage Space', I have to delete the whole submission to clear space although the attached file was no longer there in the edited submission. — 

    Yes, this is correct. If you notice, the file can still be downloaded from your email notification if you haven't deleted the submission yet. Once submission data is deleted, the link will no longer work in your email because the whole submission has been deleted. 

    It is still occupying a space if you haven't deleted the submission data. Deleting the submission will remove its association from the attached file and will completely be purged from Jotform server.
