Is there a way that we can separate responses and create a file online?

    Hello,

It's my understanding there's no phone support so I will try to ask my questions as clear as possible.

I work for a non-profit organization and we are looking for a way to become paperless. All of our forms are currently in paper and they are put together in a file for each client (no more than 10 different forms each file - including one picture). We would like to use jotform to create those new forms but I'm not sure if there's a way to create files with different forms.

It's my understanding that you create a form and once it's submitted, those responses get "saved" under that form. But we would run into the issue that we wouldn't be able to create files for each client, and instead, we would have responses from different clients under one form.

Is there a way that we can separate responses and create a file online?

Would it be best to save the forms as templates and then just create one link for each clients and that way we'd have files for each client and not each form?

Also, what happens to the data if at any point we decide we no longer want to contract with Jotform? We would definitely use an account that would be HIPPA complaint.

We are looking for a software that would allow us to go paperless with digital forms but would also be a type of server where we would be able to store all of our files

    I hope this make sense!!

Please note that when form is submitted, the data is captured in form. One form can have data of your multiple clients and it will not get mixed up. All client's data will be displayed in separate row in form's submission page. The following guide should help you how to view form's submission data: https://www.jotform.com/help/269-How-to-View-Form-Submissions

If you need separate file per customer, you can take advantage of our PDF editor to design PDF document template. When the form is submitted, the data will be applied correct in the PDF template. You can download the submission PDF document anytime you want or you can also send it automatically to your email address as attachment. The following guides should help you:

    Design PDF document: https://www.jotform.com/help/555-Applying-Form-Submission-Data-into-a-PDF-Document

Receive submission PDF as attachment: https://www.jotform.com/help/503-How-To-Include-Submissions-As-PDF-Attachment-In-The-Email-Notifications

    Hope this helps.

Do get back to us if you have any questions.

I have moved your second question to a new thread so that we can address it separately. You will be answered in the following thread: https://www.jotform.com/answers/2375447
