Multiple form fillers and signers easiest way to implement

    * Form originator completes basic data on form including name(s) and e-mail address(es) of 1-4 follow on completers and signers

    * There will be between 1 and 4 follow on completers and signers set up by form originator

    * Form when 'submitted' by form originator is e-mailed to follow on completer 1 with the subset of fields only they need to complete

    * When follow on completer 1 'submits' the form if there is only 1 completer, the form originator will be notified. If there is more than one completer the form is sent to completer 2 with the subset of fields they need to complete (they do not need to see the data completed by completer 1) and this is repeated up to a maximum of 4 completers

    * When the last completer signs the form the originator needs to notified

    What are the basic steps to consider to implement this easily please. Thank you

    Hi JungleProperty,

    Thanks for reaching out to Jotform Support. It's possible to have multiple user to complete the form by adding the edit link on the autoresponder email or notification email. This edit link when clicked will allow you or other user to edit form and complete their part. Check out this guide on how to add an Edit Link. However, there may be limitation because to my understanding, this should be completed in order. I try to look for a workaround on how we can achieve this. Please give me some time for this.

    Hi JungleProperty,

    Thanks for your patience. My recommendation is to use the Approval Workflow. You can use the email field for the signer as the approver and you can add an edit link on the email that will be sent to them so they can edit the form. The signer would need to click on the Approver button to proceed to the next approval action. Let me show you how.

    To access the approval workflow, please follow these steps:

    1. On the Form Builder, click on Settings

    To create an approval flow, please follow these steps:

    1. On the Approval Flow, click on Add element.
    2. Click on Approval.

    3. Click on the Settings.

    6. Click on Form Fields .

    You need to add multiple Approval elements depending on the desired number of approver/signer.

    Thank you for the response - the creator of the form would have to know how many people will approve/sign the form 'before' the form is created/published? if so that would not work - only the person who first fills out the form knows how many people will need to sign/approve form and we want to avoid having to customise or create a form dependant on number of signers.     Hi Tom,

    Thanks for reaching back to Jotform Support. If you are not sure how many signers will complete the form, the only way to implement it is using the edit link on the Autoresponders. First, you will need to add the maximum number of signers. In my example below, there are 5 signers.

    You will have to add 5 email fields and 5 signature fields. We will set a condition that if the form submitter selected the number of field, it will show the fields. Let me show you how to set it up:

    1. While in Form Builder, click Settings.
    2. Click on Conditions.
    3. Then click Add Condition.

    4. Set the conditions like below:

    5. Repeat the conditions for the rest of the Email and Signature field.

    After setting up the conditions for the Email and Signature field, you will add 5 Autoresponders and set a condition as well. Please follow this guide on how to create Autoresponders. Once created, you will set the condition like below:

    You will also repeat creating the condition for the rest of the Email fields. It will look like this:
