Notification Email: Not Receiving all our Volunteer Submissions.

    We typically get our volunteer reference forms notification by emails. right now we are getting about every other one in our email - the rest i have to sign in to find then copy and email.

    Hi PREPARES,

    Thanks for reaching out to Jotform Support. I checked our email logs, and it seems that you're getting Notification Emails for the PREPARES Volunteer Reference Form. Check out my screenshot below to see my results:

    I suggest checking your spam or trash folder, for the Notification Emails. If they're being marked as spam. You can create filters that would help you prevent this from happening. You can check our guide on How to Prevent Emails From Landing in Gmail's Spam Folder. Additionally, it's a good idea to whitelist our common domain names and add noreply@jotform.com and noreply@formresponse.com to your contacts lists. We have a guide about Whitelisting Jotform IP Addresses and Domains that you can check out.

    I also suggest adding or setting up an SMTP as the Sender Email in the Notification Email. Let me show you how:

    1. Go to your My Account page, and click on Settings, or visit here directly.

    2. Click on the Add Sender Email button.

    3. Enter the following information:

    • Email Address: {your email address}
    • Hostname: smtp.gmail.com
    • Port: 587
    • Username: {your Gmail address}
    • Password: {your Gmail or app-specific password}
    • Security Protocol: TLS

    4. When you're finished, click on the Send Test Email button to make sure that everything is working. If it works, click on the Add Email button. If not, please check the details again and correct any errors.

    Thank you for your response. We are getting emails ... just not ALL of our emails.
    Several times a week I have to go in and search for referrals that I could not find in our mailbox or our spam folder.
    How can you help with this?

    Hi PREPARES,

    Thanks for getting back to us. Your email address might be blocking the Jotform emails, since email providers can take this action to block messages when there are too many emails come from the same address. I suggest you check this guide to get some insight on why you're not receiving the notification emails. Also, if the emails are being marked as spam, please check this guide. I also recommend that you whitelist the Jotform IP address on your email.

    Another option, as mentioned by my colleague, is to consider setting up an SMTP so you can use your own email address to send the email responses. This will increase the reliability of the emails being sent. We have a guide here that you can check for the steps on how you can set up the SMTP for your form.
