JotForm Approvals: set up a workflow with multiple signers

    Although I'm still waiting on the pdf template issue to be resolved. I believe I'm down to my final concern. Testing can be a doozy!

    I received the following video from your team on how to create a workflow in a contract/form https://www.jotform.com/help/1412-how-to-create-an-approval-flow-in-jotform/. However, this video does not show you how to have multiple signers required and once the first person signs the 2nd signers receives an email for their signature. Is this possible in JotForm?

    I believe the following and my video I created will help with what I'm asking.

    1. Does JotForm have a rule that makes it so the 1st signer can only sign in one place on the form and the 2nd signer can only sign in one place unique to them and gives them an error if they try to sign in the other signers place?
    2. Is there a video of setting up multiple signers on a contract? Where the below workflow goes into place.


    Workflow needed:

    1st signer receives email > Signed by 1st signer > 2nd signer is notified > 2nd signer signs > Email notification goes out to all parties with the contract attached.

    Is this possible?

    Greetings,

    Thanks for providing a detailed screencast video!

    That is quite possible using the JotForm Approvals feature.

    First, note that there's no need to use the signature field on the form itself for the persons who receive approval requests and either approve or deny them. You can only use that signature field on the form only if you require it from the person who submits your form (signatures from the approvers can be received via the approvals feature and no need to use them on the form):

    Now, as for the approval flow:

    We should use the Approve and Sign element for that two times:

    So, when as given on that screenshot, once the user submits the form, an approval request email will be sent to the email that will be received from the form field, then once that person clicks approve button, it will be redirected to the page to click approval button and also provide a signature:

    After that, the email will be sent to the second approver with the same approach. Lastly, you can use that send email feature to send the email to the desired parties involved.

    You can enable the PDF attachment for that last email, so you will be able to add those approval reports to that PDF document (i.e. signers and their signatures with user-submitted data).

    I just tested this and this is what happened

    I removed the signature for myself on the form as stated > I the sender sent the form from the send feature to the recipient and I notice a few things

    1. The recipient is unable to open the form unless they log into JotForm. Is there a feature that should be active for them to view the contract? I had to open the form up while testing on the browser that I was logged into for it to recognize just so I could complete the testing - For this one I was able to verify I had it set to Private, once I corrected this the end user can now open it.
    2. The recipient does not get an email with the pdf attached with my (sender) signature. They aonly get the one with their signature
    3. The link is the same for the form. Which means as long as someone has the link they can open it and see the details of the next persons contract because the URL is the same. Am I doing this wrong? This is what I'm doing. Share Form > completing the details under publish > Share on email which has the same URL each time https://form.jotform.com/212753059128052 > Send. Is there a unique URL for each submission available. Or do I have to have a separate contract for each contractor? My thoughts was that I create this form and I would edit the name each time and send to the contractor. Do I have this wrong?

    The recipient does not get an email with the pdf attached with my (sender) signature. They only get the one with their signature

    On the PDF Document attached to the email that will be sent to the contractor after you have approved their submission,

    you can include your approval signature.

    You can do this on the PDF Editor page.

    And it will look like this on the PDF submission attached to the email that will be sent to your respondents (contractor).

    Is there a unique URL for each submission available. Or do I have to have a separate contract for each contractor? My thoughts was that I create this form and I would edit the name each time and send to the contractor. Do I have this wrong?

    Are you looking to send your respondents (contractors) the link to the form they need to accomplish with the following fields on your form prepopulated with their information?

    Because if that is the case, I would suggest that you check the JotForm Prefill feature.
