Triggering approval flow on google sheet.

    If we want to have a multi-layer/level approval process (reason of request, team, amount, etc.), can we have the approval process maintained in a google sheet (ie. API call)? it'll be easier to manage/maintain over the conditional branching in the approval flows.

    Thanks for patiently waiting. To clarify, do you want to trigger the approval flow using the API? Unfortunately, the API could not interact with the approval flow. Could you explain a bit more about the approval process of your form and the Form URL so I can get a better idea of what's happening? It would help us to understand what’s happening if you could take a screenshot and send it to us. We have a guide here explaining how to do that or take a video using Loom.

    Once we hear back from you, we'll be able to move forward with a solution.

    Hi Karlo,

    Apologies for the delay. We want to have only one jotform for our finance expenses. Now, we have the entire approval flow sitting in a google sheet. In the gsheet, we have four main tabs representing the type of request, which are Employee Claims, Payment to Vendors, Payment to Customers and Asset Purchase Requests.

    In each tab, we have all of our Depts listed in Column A, followed by the email of the Approver if it's less than 1,000 dollars in Column B and the email of the Approver if it's more than 1,000 dollars in Column C.

    What we'd like to achieve is for the jotform to send the type of request, department and range of amount responses to the google sheet and call the Approver's email address back into the form for approval purposes.

    Is it possible? Please let us know if the above is unclear.

    Hi StoreHub,

    Thanks for getting back to us. Unfortunately, it's not possible to import data from an integrated Google Sheet. Our Google Sheet integration only sends the submission data to the spreadsheet but not the other way around where the data from the sheet can be used to populate a form.

    As a workaround, you can import the data from a spreadsheet into the Jotform Table, and then you can create the prefilled form based on this table using the Tables Prefill. You may also want to check out the Import Data app. You need to export your Google spreadsheet data in Excel or CSV file and then import it in form through the Import Data app. But note that it is not possible to get the data from a spreadsheet that changes constantly.
