Setting Up an Autoresponder Email

Last Update: June 16, 2017

If you want an instant, pre-written reply, or you want the submitters to get a copy of the date they have submitted to your form then you will need to set up an Autoresponder Email, so let's get started!

1. Click on "Settings".

2. Next, go to "Emails".

3. Now, click the "+" to begin making an Autoresponder.

4. Select and click the "Autoresponder Email" option.

5. There are three main tabs here, "Email", "Recipients" and "Advanced".

(Left) "Email" Tab:

Allows you to setup the email template. Here's a screenshot of its main function:

#1. Click the "Email" tab to view it.

#2. You can click the pencil icon and edit the name of the autoresponder email.

#3. You can input text here that will be used as the email's subject line. If you want to add a form field value on it, simply click the pencil icon and it will give you the list of form fields.

#4. Here you can see and add the form fields in your email template. It'll give you the correct field tag specific to it's related form field. An example would be, the field tag for the default name field which is " {name} ".

#5. This is the main body of the email template, you can edit, format or style it as you like.

(Middle) "Recipients" Tab:

This allows you to set the sender name, reply-to email address, and set the recipient email field for where you want to send the autoresponder.

Also, make sure to put your Sender Name. This can be your Name or Company Name. Reply-to Email should be your email address or the email address of your company. The very important part is the "Recipient Email" which will be the email field of your form. You have to select it from the dropdown.

(Right) "Advanced" Tab:

In the advanced tab, there are optional features that you can use, though none are required.

-You can check the Send on Edit option if you want the autoresponder to be sent when the submission is edited.

-You can send the submission as a PDF attachment.

-You can attach a File.

-You can setup the autoresponder to be sent later.

-You can hide empty fields.

-And setup the sender email. Please note that it is strongly recommended to keep "" as the Sender Email because this helps to ensure that the auto-response is not identified by the recipient's email provider as spam.

6. Finally, click the "Save" button and make sure that all of the changes in your autoresponder were applied.

If you'd like to see how your autoresponder looks like, you can test your form autoresponder email by clicking the "Test Email" button. You should receive the test email to your account's primary email address. You can also test the form by filling it in to submit actual data using a valid test email.

Additionally, there is also the chance that you may have more than One Email Address that you wish to use in your autoresponder to be listed with the notification being sent to Multiple Recipients.

If you want to use your own Email Address as the Sender Email, that is now possible with Jotform. There are two methods that you can use: 

Use a verified email address as the custom sender.

Using your email address' SMTP as the sender.

Note: If you are looking to setup a text only email this would no longer be possible. The option has been removed from the new wizard as all mobile devices can now open HTML emails and they give you more freedom so all emails are now HTML by default.

I will have an agent who will input into forms for various clients.
The form will contain 2 email addresses. (Agent and Client). Once a form has been successfully submitted I would like to inform the Agent and Client via E mail as proof. Is this possible.

Yes, that's possible. Simply create two Autoresponders as described above. You will create one for the Agent and one for the Client.

I am trying to create a unique reply address - for example a varying email address which is made up of only a part or a field.

the varying part of the email address is the beginning - the is always the same - the varying data is from an input field - 12345 - there is only a drop down menu on the autoresponder email and not the access to add teh field - BTW - this is easy to do in the Subject field... any advice would be really helpful. I need to set up a web page with an offer for a free ebook. I would ask for their name and email address through a JotForm and they would hit the submit button. Then I'm hoping to include a link for the ebook download on the auto responder page. Does this make sense? Thank you, Ed Stott

I have a form on my website where visitors can submit in order to receive a free report. I would like consumers to be able to receive a confirmation e-mail with a verification link so that they can verify that they have received their e-mail (this is important because I have received submission in which the e-mail addresses have not been valid)and then I want them to receive another auto responder with my welcome message... Is there a way to send "conditional" responses? i.e. Someone picks vegetarian menu and because they selected vegan, they get an email saying we got their form and confirmed their vegan request. Where there will be options for chicken and steak pickers and they get their menu options in the confirmation email. Thanks

I'm having trouble getting the Autoresponder email to work. I'm trying to do the following:

1. have someone fill out my form (travel fellowship) which asks for their recommender's email address.

2. when the travel fellowship form is submitted, an autoresponder email is sent to the recommender's email which includes a link for the recommender to fill out and upload their recommendation (Reference form).

3. The link to the Reference form the recommender will receive should have prepopulated fields that are pulled from the Travel Fellowship form.

Can you tell me what I'm doing wrong? The test autoresponder email works just fine. But when I test the form, I can't get the autoresponder email to work.

How do I get to have the responder receive the "text box" on the form with the data in it? Let's say this is an acknowledgment of a policy. The responder signed it after reading the content in the text box I inserted in the form, ad I want the responder get a copy of the text box content in the email he or she receives. I want the autoresponder to receive the links to join a webinar that they purchased via the original Form. Is this possible? Can I modify the text field to provide this information so that they receive it after they've paid? Or do I need to accomplish this in some other way. This could also be used for sending a download link for an audio or .PDF file.

Hi, nice looking product! Considering coming over from Formsite... One feature I'd like to ask about: is it possible to defer an autorespond, or generate a new autorespond, say, 1 week later? We offer a free eval of our software product, and it'd be nice to automatically send a follow-up email after 1 week. I know this can be done with 3rd party tools and/or custom onsite scripts, but for this "0-stage" contact (don't even know if they are a prospect yet), full automation would be great! Thanks!

When I create the notification for autoresponder, I delete the form that is whithin the eamil body to paste the content I want, it does not save it. Why does it convert back to adding the contact form on the email body and not save the content i want?

this is not what i need
example: I have 5 addresses that receive the form once submitted (auto responder set to carry out this task) sometimes I only want to send to 3 of the recipients. The form address is shared only by the five, so each can fill out the form and all will receive a copy. I need a way for any of the five to select who out of the five their submission will be delivered too. I understand that I can remove emails from the notifier but not only does this make things complicated other people would need access to the dashboard. A simple option would be for the mail addresses be in drop box and the form would be delivered to the address selected,

My Clients are completing a contract form. I want them to have a full copy of their completed form. I have large text boxes in my forms that explain copyright, print prices etc, but they are not competing anything. I want them to receive everything in the form. All I can see that they can get is the fields they complete or have to enter a value for.

Truely sorry!! Found the solution myself. I just deleted the auto responder I did not need. Apparently had it linked wrong myself :+)

I have an Autoresponder email setup using the {email} field from my form. It seemed to work fine the first time, but now when I submit a second new form using the same email address I no longer receive the Autoresponder email. I've checked spam and junk folders.
