Approval Workflow: Multiple forms

    Hi,

    I've created a workflow that has 3 forms inserted in the flow.

    Once all 3 forms are published, is it possible to fill in form 2 (for example) independently, without having to start from form 1, by just clicking on the link to the form? Is that allowed? And once form 2 is filled, will the approval flow work as designed? Meaning will form 3 be triggered, after form 2 has been submitted?

    Hello Nana,

    Thanks for reaching out to Jotform Support. Would you like the approver to just fill out a blank form or want to pass the data from the first form to the second and the second form to the third in the workflow?

    It is possible to attach the form link in the approval email if you want them to fill out a blank form(second). It is also possible to prefill the data from the first form to the second. Click on the Settings of the Form element to choose your form (from the General tab) and enter your assignee’s email address.

    Hello Nana,

    I have created a form and added two Form Prefill elements.

    • Form 2 has data from Form 1
    • Form 3 has data from Form 2

    After testing, I can confirm that the approval steps will work along with the form Prefil function. Check out my screencast here:

    Yes I've set forms 2 and 3 to pre-fill with information in the preceding form - however I was wondering if it was possible to go straight to forms 2 or 3 and fill them out as normal.

    My apologies for my confusion: I've read the thread here, and am needing some clarification in regards to your latest question.

    Are you wanting to skip form 1 altogether? I'm confused as to the prefill element of your workflow and then what you're referring to when you say "I was wondering if it was possible to go straight to forms 2 or 3 and fill them out as normal" : could you kindly elaborate more on this and your envisioned use case?

    With this clarification, we'll be better informed and able to move towards a solution.

    I'm so sorry for not being clearer.

    In some workflows, users will be required to fill forms 1, 2 and 3 to complete the project. In other workflows, they only need to fill in 2 and 3. I've connected each form so 1 pre-fills 2 and 2 pre-fills 3. However there are some instances where 1 isn't required so the user would then have to manually fill in all the form spaces. So do I need to create a new form 2 and 3 for those specific instances (with a new approval workflow)? Or can the user click the link directly to form 2 without having to go through form 1.

    I hope this makes sense.

    Hi Nana,

    Thanks for getting back to us and for providing more information. One of the solutions I am thinking of here is to create a condition on form one that if no one needs to fill out the information a link to form two will appear to fill it out. Check out the screencast I made for you for the idea I have in mind:
