Is there a way to switch an approval from denied to approved?

    Hello,

    I would like to switch an approval from denied to approved after editing the entry. Is there a way to set this up within the approval process flow, or is it the case that once the form has been denied it can not be switched to approved.

    The process I would like is to have is an ability to deny the form if an issue was spotted and then be able to approve the form once the necessary edits have been made to the form. This is an important step in our workflow. I did notice that there is a new option to have the reviewer to request more information before approval and that may suit our workflow. However, our team has already denied several forms that need to be changed to approved upon editing of the form.

    Thank you for contacting JotForm Support.

    Unfortunately, it is not possible to switch the approval status of a submission using the Approval Flows feature. The structure of the workflow that is created in the Approval Flows builder will be followed exactly as it is built.

    Meaning that when an approval email is sent out, the approval response that is given will be saved and cannot be edited or switched.

    The only option here would be to add more steps to the Approval Flow to allow you to change the status on a future step.

    So for example, you can have the current approval flow and then add an additional step where another email is sent to you or whomever after the initial approval occurs. This way, you will have the ability to approve or deny the submission after the initial approval.

    Another solution would be to use the legacy Approval Flows feature. The old method does allow you to switch the approval status by editing the form and switching the status manually. Then after changing the status, you can re-submit the form to trigger the new approval status and the corresponding actions (emails, conditions, etc.)
