Body Brave provides accessible eating disorder treatment and support while advancing community training and education. Body Brave’s program evaluation officer and dietitian, Jeannine Smith, PMDip-Dietetics, RD, and project coordinator, Krisztina Takacs, BSW, RSW, share how Jotform Enterprise helps them enhance client services and contribute research to improve eating disorder care.

Before Jotform Enterprise, Body Brave used several software providers. Processes were time-consuming, and it was difficult to view data in aggregate. The team needed something that let them securely collect data, schedule bookings, leverage conditional logic, and meet data residency, HIPAA, and consumer privacy requirements.

“We provide treatment services in Ontario and have to abide by the Health Insurance Portability and Accountability Act (HIPAA) as well as the Personal Information Protection and Electronic Documents Act (PIPEDA), so security and compliance are key for us,” says Smith. “The other big requirement is having data servers in Canada.”

“What makes Jotform Enterprise unique is the level of security it offers combined with the ability to use Jotform Tables, produce custom reports, and build conditional logic into surveys,” says Smith. “We didn’t find anything as comprehensive with the level of security that we, as healthcare providers in Canada, need to deliver services. “To build one of our surveys with another online form builder, we actually required the support of a contracted IT engineer (this support was provided pro bono, thankfully). With Jotform Enterprise, I’ve been able to recreate the exact same form myself with Enterprise chat support.”

To tailor newsletters, Takacs used to manually view and tag each client to indicate if they were based in Ontario. Now, form registration data maintains the list automatically, ensuring Body Brave’s clients receive news for their area.

Improving access to care and turnaround times

Body Brave started its Jotform Enterprise journey with a simple registration form that uses conditional logic to direct form fillers to the right services. For Takacs, it’s all about making onboarding as easy as possible so clients can start accessing services.

Finding care is challenging, as Canadians can spend up to two years on a healthcare waitlist for basic intervention.

“Jotform Enterprise allowed us to minimize that gap,” says Takacs. “As soon as a client fills out the form, we’re able to assess each respondent’s level of risk of an eating disorder, provide recommendations for next steps, and remove the barriers that clients face, whether they’re new to their eating disorder, coming back for services, or just trying to figure out what resources are available.”

“We couldn’t provide these kinds of automated, customized onboarding services before Jotform Enterprise,” says Takacs. “It’s made the registration process a lot easier.”

Building upon success and skills with Jotform Enterprise

“When I contact Jotform Enterprise support, they’re always helpful,” says Smith. “I’ve never messaged them and not gotten the answer that I need. I’m not an IT person; I’m a dietician doing my best to create complex logic, surveys, and forms, but when I ask my question, they seem to know exactly what I’m trying to say.”

Increasingly, Smith is focusing on data analysis. Previously, she had to export data from disparate programs. With Jotform Enterprise, she can create reports directly in the platform with a click. “Visualizing the data in different ways with Jotform Tables and Reports is really helpful; it’s saved me so much time,” she says.

Enabling secure collaboration and research across organizations to advance care 

Body Brave is working on a comprehensive self-assessment program in collaboration with a local hospital to support clients and research that will inform services and treatment.

Smith notes that eating disorder research is desperately needed; however, working with sensitive patient data can be difficult because of HIPAA regulations that dictate how data is stored, used, and accessed.

“The HIPAA compliance solutions available through Jotform Enterprise enable us to meet all the security requirements, do more academic research, and publish our work,” says Smith. “I’m excited to be able to be a part of comprehensive research and evaluation to improve the whole system in eating disorders and further advances across the continuum of care.”

Body Brave is also joining forces with Eating Disorders Nova Scotia (EDNS) to integrate peer support services and a recovery support program.

Leveraging a Mailchimp integration, they can coordinate messages with EDNS to send newsletters about programming updates, peer support services, and upcoming events.

To ensure data is protected and all users have the appropriate level of access, Smith uses the Admin Console to manage users across the organization’s account and view overall usage trends within the teams. 

Body Brave has also streamlined a collaborative partnership with Careteam, using a custom API key through Jotform Enterprise.

Incorporating e-signatures at no additional cost

Another enhancement was incorporating Jotform Sign into Body Brave’s registration form, consent forms, and various research programs. The team didn’t have the resources for an e-signature solution before, so having access to Jotform Sign within the Enterprise platform was a welcome addition.

“We use Jotform Sign all the time,” says Smith. “Having the audit trail and a signature captured feels more intentional than just asking somebody to click a checkbox.” Jotform Enterprise is proud to support Body Brave on its mission to be a leader driving change and providing recovery from eating disorders for every body.
