Founded in 1925, Peggy Adams Animal Rescue League has cared for more than 1.5 million animals in its 100-plus year history.

With that depth of experience in animal rescue, the organization understands what it takes to keep pets out of shelters: supporting pet owners. When people face financial challenges or issues with a pet’s behavior or health, surrendering the animal to a shelter is often their option of last resort.

To make it easier for community members to manage these challenges and keep pets at home, the organization offers services like a veterinary clinic, a pet food pantry, low-cost dog training classes, and more.

This comprehensive approach entails multiple programs and touchpoints with the community, so Peggy Adams staff have to manage a lot of information. They also need to ensure their services are accessible to all community members, which means providing materials in different languages and making them easy to access on mobile devices.

The challenge: Siloed records, paper forms, and too many tools

Shalise Franklin, the rescue’s digital marketing coordinator, says that in the past, the organization didn’t have a standard way to collect or manage information for all its programs. Each department used its own tools and methods. The organization’s data was siloed in these different departments, often in paper forms, making it difficult to access or cross-reference. Information was often accessible to only a single user.

That was before the organization started using Jotform Enterprise.

“It’s a really central way to collect information across the entire shelter,” says Franklin. As the rescue’s resident “Jotform guru,” she is always looking for new ways to use the platform to support the rescue’s work.

Meeting community needs with form translation and mobile access

Above all, Franklin says, Jotform Enterprise has enabled the organization to communicate with community members in the ways they prefer. For diverse communities like those in South Florida, that means offering services in different languages.

With Jotform’s form translation feature, staff don’t have to print out forms in multiple languages. The form filler can just select a language, and the form is translated for them instantly.

That flexibility also applies to providing mobile access to forms. “Our clients don’t really use desktops or computers as much,” says Franklin. “It’s more mobile. So, if we can be as mobile-forward as possible, we find that’s always the way to go.”

Using Jotform, staff can create a scannable QR code for any form and post it in the vet clinic, at events, or anywhere in the field.

“People can just scan a QR code [for a form] that’s found anywhere on our campus and fill it out right there,” says Franklin. “Easy peasy. Done.”

Support for marketing and events

For a marketer like Franklin, having a tool that integrates with email marketing tools like Mailchimp is a lifesaver. She uses Jotform’s integration with Mailchimp to sign up people for the shelter’s email lists and newsletters. Each email sent out in Mailchimp includes an opt-in option for readers to subscribe to relevant mailing lists.

“They can click yes or no to subscribing to our email list,” says Franklin. “If they click yes, it adds them to Mailchimp and it helps us boost our subscribers. It’s the best thing ever. I don’t have to ask them awkwardly myself to subscribe. They can just do it on their own.”

With more than 40,000 subscribers to its main email list, the rescue has a lot of people to keep connected. “Jotform helps make that possible by allowing supporters, adopters, donors, and clients to easily opt in to the audience they choose,” says Franklin. “They can decide, hey, I like this place and want to stay in the loop about what else they have going on.”

Jotform is also part of the organization’s fundraising efforts. For example, the marketing team recently held a “Paint Your Pet” fundraiser. To make the event accessible to anyone, regardless of artistic skill, the organizers created easy-to-paint outlines of pets from photos that participants sent in. To create the outlines, the team needed to collect and scan photos of participants’ pets before the event.

Peggy Adams Animal Rescue League staff used Jotform’s image upload field to collect photos of pets for a “Paint Your Pet” fundraising event.

Franklin was able to add a photo upload field to the registration form for the event, so each registrant’s record included the image of their pet.

“Instead of just having different random files on the company drive, we have them all in one place,” she says. Each photo is attached to the pet owner’s record for easy distribution at the event.

Fewer emails, more automation, greater visibility into operations

In the past, staff emailed any internal requests they had to maintenance, IT, finance, or other departments. Messages got buried in inboxes, and it was impossible to track the status of requests.

With Jotform Enterprise, each department now has its own form to field requests from other staff. “It eliminates all the email clutter, and your department’s manager can go in and see what’s been requested,” says Franklin. That means more transparency into each department’s workload and improved task-tracking.
