Rady Children’s Health of Orange County (RCHOC) operates one of the highest-stakes environments in medicine, a level 1 pediatric trauma center. This designation requires adherence to rigorous, nonnegotiable standards and constant compliance with clinical guidelines.

The organization faced challenges familiar to many large healthcare organizations: siloed data that was difficult, if not impossible, for staff to access. The trauma program manages all of the organization’s clinical care guidelines and information, yet these essential protocols were stored either on shared drives or in a physical binder located in the emergency department.
The manual system for accessing trauma information posed a direct risk to compliance and patient safety. Data was often located on other floors or in other departments. To check protocols, staff had to either call the appropriate floor or department or physically go where the information they needed was stored.
New residents, fellows, and nurses lacked centralized protocol resources, and because protocols must be precisely followed for level 1 trauma center accreditation, this posed a compliance risk. In addition, verifying that every team member referenced the current best practices was impossible. RCHOC needed a solution that was instantly accessible, inherently secure, and easy to manage so that nontechnical clinical staff could use it.

The trauma program app houses all 25-plus trauma protocols and makes them instantly searchable on any mobile device. But it’s more than just a document repository. The app includes trauma patient criteria, all patient services and information, clinical resources, patient procedures, and more.
The app also stores orientation materials and clinical resources to facilitate medical resident onboarding and ensure new staff are immediately up to speed. “Jotform Enterprise is great for data dispersion,” Maginas explains. “I’m just a nurse practitioner, but I can easily build all these forms and share them with my team. That’s huge.”
Jotform Workflows streamlines administrative processes by giving researchers and staff a simple way to request trauma data. This information is then automatically routed to the correct person, saving administrative time.
The app also improves quality assurance. After high-level trauma activations, all involved staff do a trauma debrief. They scan a Jotform-generated QR code, which pulls up a short debrief survey they can fill out on the spot. This updated process enables the program to collect feedback and quickly identify any latent safety threats or issues that need follow-up. As part of the trauma debrief process, they also use the app to distribute crucial mental health resources, which can be key to support our staff’s well-being.

The trauma department nurses and doctors aren’t the only ones who use the app. Emergency department physicians, intensive care unit doctors, and orthopedic surgeons use it too.
