Explanation of Email Notification and Autoresponder Settings

JotForm has two email alerts that you can setup. We have the "Notification Email" and the "Autoresponder Email".

When you receive a notification email, you can reply and make sure it's received by the person who submitted your form. It's the same if your customer receives an auto-response email from your form which he/she can reply to your email.

 

How to access your Notification/Autoresponder Email?

1. Click on the "Emails" button.

 

2. Here you can see your existing email alerts. You can edit/delete them, you can see those options when you hover your mouse on them:

3. To create a new one, just click the "Create New Email" button.

 

 

How to get use of Notification/Autoresponder Email?

A. If you want to send a notification email. You can simply follow this guide: Setting Up Email Notifications 

The notification email has 3 main tabs:

A.1. "Email"

Here you can change the email subject line and the body of the email template.

 

A.2. Recipients

Sender Name: The Name of your submitter. Jotform is the default sender name, but you can select the "Name" field of your form or any field you want from the dropdown selection.

Reply-To Email: Should be the person's email who fills out your form. It is attached to your email field from your form.

Recipient E-mail: Should be the email for you, your colleagues, or clients who'll get the response data from your form.

A.3. Advanced

Attach PDF: Check this option if you want to receive the PDF copy of the submission as an attachment to your form email. But note that this is only possible when noreply@jotform.com is selected as your sender email.

Sender Email: We have the noreply@jotform.com as the Sender Email. If you want to use the Email Field or Custom Address provided by your submitter as the Sender Email, you can do so but you'll have to setup SMTP through Mandrill. B. If you want to send an autoresponder email. You can follow this guide: Creating a Form Autoresponder Email 

Here, the same with the notification email, we have 3 main tabs:

B.1. Email

Here you are allowed to change the email subject line and format your email body as you like.

B.2. Recipients

Sender Name: This should be your name or your company's name. 

Reply-To Email: Should be you, your colleagues, or clients email address. This is the address where the reply of the user will be sent in case he/she replies to the autoresponder email that he/she receives.

Recipient E-mail: Should be the person's email who fills out your form. It is attached to your email field from your form.

B.3. Advanced

Send on editing submission: Should be selected if you want to resend the autoresponder email to the user after they edit their submission (assuming that you give them the option to do so).

Sender Email: We have the noreply@jotform.com as the default email address. You can, however, change this by adding your own Email Address. Here's how: How to Add a Custom Sender Address to an Email Alert.

By default all forms send emails to your account email address. So, you do not need to change this at all. You can just create your form and embed it to your site. So, it is very simple.

This is only applicable if you need to send emails to a different address.

To change email address for a form:
1. Open the form on the form editor
2. Click on "Setup & Share" tab on the top toolbar
3. Click on "Email Alerts"
4. Click on "Notifications"
5. Click "Reply-to and Recipient Settings"
6. Change the email address on the lower bottom corner.
7. Click "Finish" and save the form.

Am I doing something wrong?

I run an education website that is setup using jotform software. I use your forms so people can submit activities to play in class.

Anyways, I used to have a project manager for my website but recently lost them. That PM used to receive all the submissions.

I'm trying now to transfer the submissions back to my email account. I followed the instructions in this thread and tried submitted a couple of test submissions but my email is not receiving them...but they are showing up as successful submissions on my jotform account.

HELP???

I think your email address is incorrect. You should probably change englihspm to englishpm on your email address.

I got it! It wasn't the changing of my email address that was the problem. I had a brain fart with not clicking into the "Reply-to and Recipient Settings".

I set up my form before you did a makeover of the software and haven't checked it since. I really need to get back in and update my form because you've added some slick options.

Ok I I get two notifications one from Jotform and one with the person filling out the form [me with my hotmail account] But the person filling out the form is not getting anything.

You are setting autoresponder e-mail for the submitter don't you? In autoresponder e-mail the recipient should be E-mail and the sender can be anything in the combobox.

I don't understand something. The jotfor website is in french (my language) but the help is in english. My question : i created a notification but when i receive the formular i can't reply to the sender. The sender is noreply@jotform.com... How can I configure it to have the sender in the reply address?

julienweimer: To change sender email address on a form, open your form on the Form Builder and then:
1. Click on "Setup and Share" tab,
2. Click on "Email Alerts",
3. Select "Notification",
4. Click on "Reply-to and Recipient Settings",

You stated, that by default all forms send emails to your account email address.

With that in mind can you set it up so that all forms send emails to MULTIPLE email addresses?

I would like several people to receive a notification of a form submission but I can't see where to do that. Please help! The envelope thing is very confusing to me. Why not just have a field which asks which email addresses to send the form submissions to?

I followed your instructions for having multiple (3 in my case) e-mail addresses specified to receive a copy of each notification. i.e., I entered the three e-mail addresses in the lower right corner of the "Reply-to and Recipient Settings" "envelope" and separated them by a comma. However, only the first specified address is receiving notifications.

This feature of Jot Form is the most confusing. I'm looking for an Auto-responder whereby when a prospective client submits an inquiry, the person receives an auto-response indicating their inquiry was received. Currently I receive in my email account the auto responder message that I want the client to receive. Do I have to log into Jotform and manually type into the 'recipient' field the submitter's email address?

Can I change the notifications so I can make the 'from' send send from a specific email address? and the recipient be a specific address to? we have a support form that needs to have a specific 'from' email address so it is not spammed by our system. When my visitors send me a message, I got it into my provider email.
But when they send me a file,I dont see the file as an ATTACHMENT FILE in my provider.I only see the name of file.But I can not save it.If I change the email.ıf I use another email address to recieve the messages, I see the file in my email.But I dont see the file in my provider email. Why is that ? Does it mean JOTFORM is in black list in my provider ?

I've tested the auto responder with 2 different email addresses. I get an email from the first time I fill out the form, but if I fill it out again with either of the same email addresses, I don't get another response. How can I ensure that there is a response for each and every time the form is filled out? What am I missing here?

I am trying to change my email address (to receive my forms) as the one I originally made for this form no longer exists...

But although I change the email address in
the "Reply-to and Recipient Settings"- when I click on 'test email' Jot form ignores this and sends it to the default email address!
(Which no longer exists).

Please, how do I change my default email address?

I see that within the last 6 weeks or so, you've changed the "Emails" interface. Today when I went to edit and test the Autoresponder1 email (for https://form.jotform.com/61406311973149), I set the Reply-To email to a specific desired gmail address. But when I tested the email and clicked on Reply, the Reply-To email address was noreply@jotform.com . Is this a bug in the new interface or something I'm doing wrong? Thanks.

I have email notification set-up for a form that has been working correctly for a year and now one of the recipients is not receiving it. I have deleted her name and re-added it. I deleted the notification email and started over. She has checked her spam and junk folders. The IT department here is trying to find an answer. I tried looking at the question submitted by another user above, but when I click on View Answer it just takes me back to My Forms.

I have created a form a while ago and at that time set up my auto responder and email notification.



I have had submissions to this form already and now wanting jot form to send a 2nd auto responder that I have just created to both the future subscribers and the ones that already have and are in the database of the particular form.

Will this occur as I am not sure if I need to send an email outside of jotform to the mailing list or am to expect that this will do it for me.

Your advise will be much appreciated and I can provide the form link should you need to see the 2nd autoresponder and how it has been set up.
