For Global Medical Response (GMR), the world’s largest air and ground medical transport provider, every second counts. And as the parent company to six medical services brands — including ambulance, helicopter, and airplane transport companies — it also faces the challenge of standardizing critical workflows across a vast organization.

Jason Jensen, director of communications and ground operations for American Medical Response (AMR), GMR’s ambulance transport company, found himself at the intersection of a rapidly growing organization and outdated, manual processes.

The challenge: Paper-based processes and inconsistent workflows

Before adopting Jotform Enterprise, GMR’s ground operations relied heavily on paper and pen. Each of the company’s subsidiaries managed its own unique administrative processes. This lack of uniformity was a major hurdle for everything from payroll and scheduling to internal communications. It also meant that critical data was scattered and difficult to track.

For a healthcare provider bound by strict data privacy regulations like HIPAA, this set-up was not sustainable. The organization needed a centralized, secure, and user-friendly platform to standardize its data collection and management.

“A lot of what we were doing was really paper and pen,” says Jensen. “Nothing was uniform between the operations.”

Using Jotform Forms and Jotform Apps, Jensen created a workflow for ordering uniforms, digitizing the entire process. Now, employees can easily submit their uniform requests through a mobile-friendly app, and the submissions are automatically sent for approval, ensuring that all orders are accurately tracked and processed. Jensen says that once he saw this process in action, he “got hooked on Jotform Enterprise.”

What started as a personal effort to streamline one small process quickly became a company-wide initiative. The workflow became a pivotal example for the rest of his department.

Jotform Workflows and Apps streamline communication

The real game-changer for GMR was Jotform Workflows for Enterprise. Jensen developed in-depth, multistep workflows that automatically route forms to the correct people for review and approval.

One of the most impactful workflows he created was for the employee payroll process. With Jotform Enterprise, he was able to reduce the amount of time spent managing timesheet corrections and chasing down approvals by eight hours a week for each of the company’s six business units — a total of 48 hours per week. In the new workflow, if a supervisor denies a request to correct a timesheet, it never even reaches the payroll team, allowing the department to focus on their core responsibilities. And with a verified, digital paper trail, the payroll team no longer has to deal with missing or illegible paperwork.

Here’s a look at the payroll workflow in action:

  1. An employee submits a form for a missed clock-in or clock-out.
  2. Jotform’s workflow automatically routes the submission to their supervisor for review.
  3. The supervisor can approve or deny the request directly within the form.
  4. If approved, the form is automatically sent to the payroll department, providing a verified record of the request.
  5. If denied, the form is sent back to the employee for correction, without ever reaching payroll.

This process eliminates back-and-forth emails and ensures that payroll only receives accurate, pre-approved requests, saving them countless hours of manual data entry.

Using Jotform Apps has also significantly improved employee communication and access to information. Jensen’s team created an app that houses forms for everything from job status and equipment issues to peer support requests. Employees can now easily access the forms on their phones, making it simple to report incidents or request support from the field.

“The employees love Jotform Enterprise,” says Jensen. “Everybody loves it.”

Improving efficiency and security for employees and patients

For a healthcare giant like Global Medical Response, top-level security is a requirement. Jotform Enterprise’s HIPAA compliance features make meeting these stringent security regulations easy. GMR also uses Jotform Sign to securely collect e-signatures.

Jensen highlights how Jotform Tables are “huge for process efficiency.” Tables store all submitted data in a centralized, secure location, creating a reliable backend record-keeping system that paper files couldn’t provide. For example, when an employee submits a payroll form, all the data and approvals are automatically logged in Jotform Tables, creating a verifiable record. “We don’t have to worry about paper getting lost,” Jensen says.

By digitizing data collection with Jotform Enterprise, Global Medical response now saves an average of four reams of paper each month per business unit — a total of 12,000 pieces of paper.
